Shift: Monday to Friday – 8:00am – 4:30pm

The Academy of Aging is seeking a wonderful and passionate Full Time Office Manager to provide day to day office support to the Wellness Team.

The Academy of Aging is a Canadian non-profit society with The Manor Village Life Centers. The Academy is focused on coaching Canadians, that chronic health conditions that often results in memory loss with aging can be dramatically reduced and even prevented in some cases with lifestyle changes, especially when health habits are formed in the adult years. The Academy is also embarking on providing excellence in senior housing and a ‘Lifestyle Experience’ second to none. www.theacademyofaging.ca

This position includes timely creation and maintenance of staffing schedules of all Health Care Aides (HCAs), Personal Care Aides (PCAs), and Licensed Practical Nurses (LPNs) and answering and directing all incoming calls.

He/She is expected to carry out all roles and responsibilities consistent with our Core Values and philosophy and be ready and willing to respond to the needs and requests of the Wellness team along with residents and their families. He/She would oversee and coordinate all administrative procedures, establish work priorities, ensure all deadlines are met and procedures are followed. He/She will carry out all administrative procedures associated with admission, discharges, and transfer of Residents.

**Please note, during the duration of the COVID-19 Pandemic, The Academy of Aging is a single site employer and following direction by the Medical Officer of Health.**

This role includes but not limited to:

  • Maintain incoming/outgoing phone calls
  • Document management for Resident files (including chart thinning as required, and dismantling the chart on discharge)
  • Document management for HR Personnel files
  • Prepare, and maintain the daily nursing schedule, including making calls to staff
  • Answer absentee calls, identify replacement staff; track and record all occurrences; maintaining statistics of staff replacement
  • Maintain records of hires, terminations, leaves of absence, term positions etc.
  • Maintain office supply inventory and order supplies as needed or directed
  • Perform accounts payable/invoicing
  • Continuous learning on all computer programs used daily, including our Nurse Call system, Momentum; creating the resident pendants and fobs
  • Assist the Director of Care in maintaining the Strata Health Pathways system for Resident intake and discharge
  • Assist the Educator and Director of Care with any task assigned
  • Responsible for new hire paperwork and communication with HR
  • Interact with partner agencies and assist AHS staff in any task requested
  • Perform various clerical duties and prepare reports as required
  • Responsible for resident and Wellness team mail, incoming and outgoing
  • Provide support to resident families, particularly in the admission/discharge process
  • Maintain adequate supply of Personal Protection Equipment for Staff
  • Maintain confidentiality of Resident/Staff health information in all forms of communication

What you bring:

  • Post-secondary education is an asset
  • 2-3 years’ Experience working in a senior living environment required
  • Excellent command of English language
  • Basic clerical/administrative skills
  • Experience with Microsoft office suite of applications
  • Advanced computer skills, and the ability to learn new software as required
  • Pleasant telephone manner with strong customer service skills
  • Demonstration of tact, diplomacy and confidentiality
  • Excellent organizational and communication skills
  • Detail oriented
  • Ability to work in a fast-paced environment
  • Excellent problem solving and conflict management
  • Emotional Intelligence
  • Ability to work collaboratively and effectively with Team Members at all levels
