Position Summary

The Material Coordinator is integral in the success of daily operations relating to the movement and management of spares and equipment. The Material Coordinator will work closely with Warehouse Operations, Procurement and Service Delivery in additional to other internal departments while also liaising with external organizations including the customer.

Key Responsibilitie

The Material Coordinator will be responsible for ensuring the effective and timely execution of logistic activities. This function shall strive to support an uninterrupted flow of goods and/or services required by the project;

  • Monitor stocking levels and material master data,
    • Track material availability and delivery dates, following up to expedite delivery and resolve problems
    • Perform parts consumption analysis to identify required inventory and recommend adjustments;
    • Administer master data changes;
  • Ensure accuracy of material demand, ship to location, and relevant notes/comments on the Delivery documents;
  • Coordinate and record movement of Material Assets, including but not limited to:
    • Action and schedule shipping requirements with couriers and freight forwarders; track freight, resolve frustrated cargo situations and identify areas of improvement in distribution;
    • Oversee material returns identifying routing requirements; process, track and report on status as required;
    • Direct component repair and overhaul (R&O) activity, monitor repair lines and schedule, track and report on status, expedite availability from repair to maintain stocking levels;
    • Repairable equipment and special tools/test equipment;
    • Maintain equipment calibration program liaising with relevant stakeholders, track and report on status;
  • Schedule stocktaking activity including cycle counts and special inventories; track and record physical counting, recounting, and reconciliation of inventory discrepancies as a result of investigations;
  • Prepare and generate reports; maintain registers and support KPIs in coordination with the Warehouse Manager;
  • Liaise with internal and customer representatives in addition to external organizations while supporting a collaborative environment;
  • Update Department of National Defence (DND) Defence Resource Management Information System (DRMIS) and Thales ERP system to update material movement and status;
  • Work proactively with the warehouse team to enhance performance of the Function
  • Participate in and contribute to continuous improvement initiates, attend meetings;
  • Become knowledgeable about company policies/procedures and continually monitor day-to-day activities for compliance;
  • Support activities to ensure compliance with ISO series quality accreditation and Defense regulatory requirements;
  • Maintain an ethical approach to tasks and relationships in accordance with relevant Thales policies; and
  • Other duties as assigned by Management including, but not limited to, warehouse functions.

Key Requirements

  • Minimum 3-5 years of relevant experience performing similar activities within a supply chain environment;
  • Experience working within Procurement and/or Supply Chain & Warehousing environments.
  • Previous experience in the use of SAP or other Enterprise Resource Planning (ERP) system;
  • Strong computer literacy, proficient in MS Office Suite
  • Open minded and able to listen and share ideas while bringing added value / capturing innovation;
  • Strong organizational skills and ability to prioritize multiple tasks to meet deadlines;
  • Adept at problem solving; maintaining attention to detail while working autonomously;
  • Excellent communication and people skills, adept at interfacing between multiple internal/external stakeholders

Key Qualifications

  • Bachelor’s Degree, Trade Certification and/or equivalent experience; Defense Industry experience an asset;
  • Familiarity with, and in the use of, the Defence Resource Management Information System (DRMIS);
  • Knowledge of the U.S. International Traffic Arms Regulations (ITAR) and the Canadian Export and Import Permits Act, experience with export control and permit application process
  • Technician with extensive technical experience enabling a high degree of autonomy in the implementation of computerised processes and tools ERP(1) to support Industrial Supply Chain activities and end-users’ community, by applying a deep knowledge in ERP domains and related process.
  • Marked contribution to the development of a new system or to evolutions of the already existing system, propose necessary adaptations in terms of tools and Industrial Supply Chain processes upon industrial strategy, with a limited impact on Production unit/function overall results.
  • Explain facts, practices, and deploy policies, etc. to others within the production organization within the ERP domain and the related Industrial process.
  • Identify problems and improve, up-date, change or adapt existing methods, tools and techniques upon manager’s recommendations.
