Two Small Men with Big Hearts Moving is currently looking for an adept Executive & Operations Assistant to work alongside our Chief Executive Officer and Chief Operations Officer. The individual chosen will be an accomplished EA with previous experience working alongside executives or other top leadership and has exceptional administration skills to assist our operations teams. The Executive Assistant will be expected to have excellent time management, prioritization, and organizational skills in order to complete their own tasks, while supporting the CEO and COO to complete theirs.

This is a fast-paced role that will require the ideal candidate to be flexible and able to adapt to different situations. The Executive Assistant will be responsible for managing the day-to-day schedule of our CEO and COO as well as prioritizing and following up on relevant tasks and duties.

This role will require attention to work on weekends and some evenings, when required by the CEO and/or CEO.

Responsibilities:

  • Taking articulate minutes during meetings – including a record of action items and tasks with relation to all involved
  • Acting as a point of contact between executives and other staff
  • Scheduling & efficient calendar management - strategically organize meetings, events, and tasks to optimize the CEO/COO’s time and keep productivity on track
  • Meeting Management – coordinating calendars for all attendees and being responsible for the circulation of agendas and other related materials
  • Support prioritization & time management of tasks, goals, objectives, and projects
  • Travel Coordination Management with relation to the CEO and COO including effective itineraries and supporting and tracking expenses
  • Assistance with various operational tasks, such as, data analysis, report creation, and other related administration

Qualifications:

  • Minimum 3 years previous experience as an Executive Assistant or a minimum of 5 years of experience as an Administrative Assistant supporting senior level positions
  • Proven experience operating within the Microsoft 365 suite and its various functions; specifically Excel and Word
  • Agility & flexible availability to problem solve or support changing priorities
  • Highly detail oriented and an outstanding ability to prioritize and communicate effectively; strong written communication is a requirement
  • Exceptional interpersonal & relationship management skills at all levels within an organization
  • Absolute sense of discretion and confidentiality
  • Ability to work independently as well as collaboratively and within established timelines
  • Upholds a positive outlook and sense of drive within the organization
  • Strong ability to be accountable and own functions of the position
  • Maintains the capacity and understanding to pursue all tasks through to their eventual resolution
