About the Society:

The Society is entering a tremendous period of growth and diversification with the integration of two new divisions: economic development and social enterprise, along with the expansion of our existing charitable division. WorkLink has provided government sponsored employment services to the residents of the Victoria Capital Region’s Westshore (Colwood, Langford, Highlands, View Royal and Metchosin) since 1978. In 2008, our services expanded to include the communities of Sooke and surrounding areas including Jordan River and Port Renfrew. We are also pleased to provide aboriginal outreach services to the Indigenous Communities of Beecher Bay, T’Souke and Pacheedaht. Our non-profit organization is funded through both federal and provincial government initiatives. WorkLink is a registered charity in the Province of BC, which is governed by a volunteer Board of Directors chosen from leaders in the community.

About the Position:

As an integral part of the WorkLink HR team, the Executive Assistant plays a key role in guiding and supporting day to day activities of the Senior Leadership Team.


Key Responsibilities:

  • Assist in presentation and report development for Board of Director meetings, and Board Committee meetings.
  • Develop and cultivate collaborative relationships with peers, members of the supervisory team, and external partners.
  • Develop effective processes to assure efficient delivery of information, while filing/retrieving records, reports, preparing financial statements, memos, invoices letters, and other documents.
  • Maintain confidentiality of highly sensitive information and manage complex administrative work within strict time constraints.
  • Provide confidential administrative support including report creation/maintenance, project support, research, preparation of business travel/seminar arrangements, meeting scheduling, expense reconciliation and minute taking.
  • Serve as the primary point of contact for internal/external stakeholders on all matters pertaining to society facilities.
  • Support communications/correspondence and be accountable for timely distribution of materials.
  • Work in collaboration with the supervisory team ensuring all service initiatives are promoted for all clients/client inclusion groups.

Required Qualifications:

  • Minimum of 5 years of progressively responsible and diversified administrative experience, including supporting senior managers/executives.
  • Post-Secondary diploma in business, administration or relevant combination of formal post-secondary education and industry recognized certification.
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
  • Exemplary interpersonal skills and the ability to build relationships with key stakeholders.
  • High proficiency with computer software – Microsoft, Adobe, Databases
