Choosing Air Transat means having a competitive compensation and a full range of benefits, including travel benefits.The Executive Assistant will work in collaboration with the Assistant to the Chief Operations Officer to provide administrative support to Air Transat’s senior management. The incumbent will have the ability to multi-task in a fast-paced environment while meeting tight deadlines. He/she will be responsible for managing calendars, drafting minutes, translating, and formatting various documents as well as ensuring the follow-up of certain files. Attention to detail and collaboration are fundamental principles that will drive the work of the incumbent on a daily basis.Responsibilities
  • Provide excellent administrative support to senior management and proactively address the day-to-day needs
  • Calendar management (managing scheduling conflicts, sending invitations, organizing meetings)
  • Prepare expense reports in the Concur system
  • Provide support for meetings (room reservations, catering orders, minutes, etc.)
  • Coordinate business travel arrangements with our travel agency
  • Writing and translation of letters and e-mails while maintaining discretion and confidentiality
  • Participate in the organization of events on occasion
  • Replacement of the Assistant to the Chief Operations Officer when required
Requirements
  • College diploma in Office Systems Management or equivalent
  • Minimum 3 years of experience in a similar position
  • Knowledge of the airline industry, an asset
  • Strong interpersonal skills
  • Ability to manage highly confidential information (discretion is essential in this position)
  • Strong organizational skills, ability to prioritize and multi-task
  • Ability to anticipate needs and act proactively
  • Ability to work with minimal supervision
  • Excellent oral and written communication skills and attention to detail
  • Strong knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat
  • Knowledge of SAP and Concur, an asset
  • Team player
  • Fully bilingual (oral & written) in English and French
