Executive Assistant

Roles:

  • This role is not a traditional Executive Assistant Role, since the company is still on the smaller side, it will be important for you to be a team player and be flexible enough to help out and take on ad hoc tasks on occasion.
  • In this role, you will have the opportunity to set ideas to light in meetings, manage the induction of newcomers, you will also have the chance to get involved with all business-critical decisions, changes, as well as company projects.
  • As an Executive Assistant, you will be required to have the ability to anticipate needs, think critically, execute tasks with precision and accuracy, and offer solutions to problems with a high level of professionalism and confidentiality.

Responsibilities:

  • Provide high level calendar management with emphasis on proactive planning and scheduling of internal and external meetings
  • Manage sensitive matters with a high level of confidentiality and discretion
  • Draft and prepare correspondence, reports, and create presentations
  • Manage and update the directors contacts, network, and connections
  • Be very proactive and responsive to emails
  • Create task structures when internal talent is unavailable
  • Being a sounding board for directors
  • Handling communication and taking dictation
  • Tacking on duties and responsibilities as and when required
  • Coordinate travel arrangements, including hotel reservations, car service, and restaurant reservations
  • Manage highly confidential information
  • Minute taking as/when required
  • Produce reports for the board as and when required
  • Proofread documents and check for appropriate formatting, spelling, grammar, and clarity
  • Take a proactive approach to build relationships with clients and their assistants in a professional manner
  • Ensure all records, reports, and documentation are accurate, complete, safely stored and in compliance with Ashwell’s policies and procedures
  • Perform other duties as required

Requirements:

  • Exceptional verbal and written communication skills
  • Enthusiasm, a can-do attitude, and willingness to contribute to the team
  • Great accuracy and attention to detail
  • Ability and curiosity to learn about new business, technologies, and team members
  • Flexible and adaptable in both the nature of work undertaken and working additional hours as required to complete the task(s)
  • Technically savvy – proficient in Google Suite and Microsoft Office
  • Networking mindset – capable of forming strong professional relationships with others easily
  • Must love reading
  • Confident
  • Degree in legal studies (Preferred)
