Archives Coordinator, Summer

* Canada Summer Jobs Position – applicants must be between 18-30 years old *

Organization Overview:
YWCA Edmonton is a powerful voice for equity and has been leading social change and progress for
women, families and gender-diverse individuals in the capital region since 1907. Part of an international
movement, YWCA Edmonton is a trusted provider of services, programs and advocacy work that
transforms lives and helps build a stronger, healthier, and equitable community for all. We provide
education and services to thousands every year through leadership programs, counselling, outdoor
education, healing retreats and supporting people with disabilities.

Job Summary:
Over the course of our 115-year history, YWCA Edmonton has amassed a vast collection of records and
memorabilia, including newspaper clippings, pictures, letters, and other objects. To preserve the historical
significance of this information to the community and organization, YWCA Edmonton has chosen to
archive some of these objects, currently stored in boxes at an off-site storage facility. The successful
applicant will provide suggestions on archiving current documents and assess relevance, while organizing
storage and digitizing files.

Employment Type:
Full-time (35 hours/week), hours typically between Monday – Friday. Some additional after hours or
weekend work may be required. This is an 8-week position with flexibility between June – August.

Job Responsibilities:
For a summer work term, we are looking for a candidate to develop a master YWCA Volunteer Program
plan (June-August 2023). The chosen candidate will:

  • Review our current archives, identifying how best to preserve YWCA Edmonton’s history, and
create a precise, goal-oriented archive plan with implementation stages.
  • Organize our off-site storage facility and ensure the safekeeping of YWCA Edmonton’s archival
materials.
  • Be responsible for the digitization of textual records, photographs, and other print media in YWCA
Edmonton’s archival collections, including creating metadata for each item.
  • Reorganize content as necessary to identify and separate distinct fonds, arranging and describing
the contents of each fonds.
  • Perform additional archival functions as deemed necessary, including basic conservation and
digitization.

Qualifications:

  • The ideal candidate will be able to demonstrate knowledge of and expertise with basic archival
arrangement, records management and handling archival material through a combination of
education, job experience and/or volunteering.
  • Must be physically able to lift, reach and carry boxes up to 15 kg.
  • Must have own transportation.
  • Must be organized, detail-oriented, self-motivated, and have excellent communication, time
management and problem-solving skills.
  • The applicant must be able to take initiative and work independently most of the time.
  • Interest in conducting research and preserving historical documents is an asset.
  • Ability to deal with information in a confidential manner.
  • Passion for the mission and work of YWCA Edmonton.
  • Clear Criminal Record Check.
  • Between 18 and 30 years of age.

Equal Opportunity Commitment:
For over a century, YWCA Edmonton has been dedicated to creating a community in which everyone has
an equal opportunity to achieve their full potential. We know that creating an equitable world requires
diversity of thought and equity for all. We stay true to our mission by welcoming the unique contributions
that each individual can make, and our hiring practices welcome all candidates. YWCA Edmonton is
committed to maintaining a workplace environment that demonstrates a culture built on the fundamental
principles of inclusion, diversity, equity, accessibility, and safety.

Acknowledgment:
YWCA Edmonton acknowledges that we are on the traditional land of Treaty 6 Territory and the Metis
Homeland of Region 4. The footsteps of diverse Indigenous peoples have marked this territory from time
immemorial — First Nations, Metis, Inuit, and now settlers from around the world. We are all treaty
members, with recognition and respect for Indigenous Peoples and the traditional territories on which we
live, work, and play. We call upon our collective honored traditions and spirits to share responsibility for
stewardship of this beautiful land and our community.

Compensation:
