Newfound Mechanical Ltd. is a 100% privately owned mechanical contracting company with operations in Paradise, NL.

We are looking for a responsible Administrative Assistant to join our team. Essential duties and responsibilities of the Administrative Assistant include providing support to our Operations Management, Project Managers and other office staff as required.

Essential Duties and Responsibilities: Include the following and other duties, as may be assigned:

  • Greet and direct clients/visitors as required
  • Answer and direct calls, screen calls as requested, route calls to proper recipient, take and relay messages as needed
  • Maintain an organized filing system
  • Assist Estimator with tender bid submissions which will include accurately and efficiently communicating with clients/suppliers/general contractors to determine any and all information necessary for accurate cost estimating
  • Process weekly timesheets
  • Assist with Accounts Payable processing – matching invoice with purchase orders, packing slips and scanning to appropriate software program
  • Data entry of various information into appropriate software programs

· Order, oversee and maintain all office and kitchen supplies

  • Print and distribute site drawings as needed
  • Organize and manage project information and the archiving of project information both electronically and manually
  • Schedule meetings and conference room bookings and arrange appointments
  • Prepare correspondence and documents as requested
  • Performs all other administrative and operational duties as directed

The ideal candidate will have/be:

  • Diploma in Office Administration would be an asset
  • 3-5 years’ experience in an administration role would be preferred
  • Excellent communication skills, written and oral
  • Exceptional multi-tasking and problem-solving skills
  • Work under time constraints to meet specific timelines
  • Ability to organize and prioritize duties
  • Proven ability to multi-task in a fast paced environment
  • Ability to maintain a high level of confidentiality at all times
  • Experience with the construction industry would be an asset

  • Monday to Friday
  • Hours: 8:00 am – 4:30 pm

Permanent Position

Salary Range: (Negotiable dependent on experience)
