The OBASA Group of Companies is looking for a full-time Administrative Assistant/ Accounting Technician to join our team in the Saskatoon, SK office. OBASA is involved in corporate housing, real estate development, property management in Canada and the US exciting and owns a fast-growing technology enhanced vendor management solution serving the insurance industry, helping people with emergency accommodations in times of need.

Responsibilities Include but are not limited to:

  • Enter A/R and A/P, posting purchase orders and creating invoices
  • 5 to 6 hours of the day will be on Accounting duties and 3 to 4 hours will be administrative work depending on the needs of the departments
  • Manage the day-to-day of Obasa’s President & CEO and ensure he is supported & running smoothly, from preparing agendas to assigning action items and providing follow-up
  • Organize & manage schedules, including booking meetings, contacting participants, booking rooms, etc. Ensure that all items critical to the business are prioritized within the calendar
  • Prepare business documents, presentations, proposals, or other communications as needed
  • Manage the CEO’s attendance for various meetings (such as preparing meeting notes & materials)
  • Support as needed in areas such as reporting, investigating discrepancies, follow-ups with suppliers and clients, HR, project management including research and estimating
  • Work with the Executive team to complete targeted specific requests in an effective and efficient manner including managing deal flow
  • Recording meeting minutes and tracking and actively managing action items to ensure completion
  • Contract experience such as preparing lease agreements and lease extensions, preparation of standard form legal agreements, shareholder agreements, limited partnerships and limited liability partnerships, and confidentiality agreements and non-compete agreements
  • Providing executive assistance to executive committees, including meeting coordination, AV setup, and meeting minutes
  • Drafting professional correspondence, including memos and other interdepartmental communications

Skills & Qualifications

  • 3-5 years of experience in an Administrative Assistant/ Accounting Technician capacity with increasing responsibility supporting C-Level Executives in a business environment
  • Knowledge and ability to work with QuickBooks 1 to 2 years experience
  • High attention to detail, proactive, proficient organizational skills with demonstrated ability to deal effectively with multiple priorities that originate from a variety of sources to meet deadlines
  • Exceptional standards of professional integrity, customer ethics, and proficiency in all aspects of administrative activity
  • Demonstrated ability to work effectively with confidential and sensitive information is essential
  • Effective and exemplary interpersonal and communication skills (both oral and written) including conflict resolution
  • Impeccable proofreading, grammar skills and attention to detail
  • Service oriented, adaptable, reliable and dependable with a professional work ethic and great attitude
  • Maintains confidentiality and discretion
  • Strong preference for a candidate with a good sense of humour and who has equal measures of confidence and humility who in not limited by their job title

  • Strong computer skills including proficiency with MS Office 365 applications such as Excel, Windows, Word, Outlook, PowerPoint, Stream, Teams, OneNote, Yammer, SharePoint, etc
  • Experience in handing difficult situations as well as a measure of conflict resolution
