The Department

Working with Financial Services means being part of a high-performing team of individuals who focus on working together to deliver exceptional services. This team is known for receiving three green lights from the Office of the Auditor General for accuracy, timeliness, and past recommendations in the Report on Post-Secondary. The team takes pride in providing the auditors with a complete set of financial statements and working papers within ten business days of year end.

The team includes payroll, business services (budgeting, forecasts and strategic analysis), accounts payable, accounts receivable, capital asset and inventory control, financial reporting, contract management, internal controls, mail receipt and distribution, and purchasing. Each of these areas requires a unique set of skills and abilities. While working with staff, students, external clients or members of the community, team members are driven to deliver exceptional customer service while constantly evolving to improve processes.

The Role

The Accounts Receivable Clerk performs various duties related to the maintenance and analysis of student and corporate financial records. This includes posting charges and credits, invoicing, receipting, bank reconciling, distribution of outgoing and internal mail, managing payment plans, refunding and collecting outstanding accounts.

Duties will include:

  • Accurately analyze and maintain customer and ledger accounts: reconcile, post transactions, initiate refunds, and correct errors while maintaining high level of security with internal and external control procedures.
  • Customer Service: provide thorough, accurate, timely, professional service to students, clients and staff including effective advice to College departments regarding financial processes and procedures ensuring tax and FOIP rules are adhered to. Identify recurring issues, develop appropriate solutions and communicate as needed.
  • Manage the debt collection process with follow-through from assessment/charge, receipt of payment, outstanding notices, and collection.
  • Calculate, reconcile, and post journal entries/internal transfers.
  • Receive, record and secure deposits from internal departments; prepare and reconcile deposits for delivery to bank.
  • Disburse petty cash payments to staff ensuring appropriate signing authorization is provided.
  • Initiate and process Pre-Authorized Debit/Direct Deposit transactions including bank account set up and account reviews.

Employees Association Salary Grid: Level (C) Band $38,508 - $54,828 annually

Job Requirements

A Business Administration Diploma with a major in Accounting or related field and 6 months related experience is required. An equivalent combination of education and experience will be considered. Necessary skills and attributes to be successful in this role include:

  • proficiency in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook; knowledge of Matador and Agresso are considered an asset;
  • strong organizational and multi-tasking skills;
  • excellent communication and interpersonal skills;
  • ability to build strong relationships across the organization;
  • a high level of integrity, professionalism and accountability;
