The company is a family business that has been around for almost 50 years.General Description Of PositionOur company is looking to hire an Accounts Payable Front Desk to be responsible for the general operation of our office. This individual will be highly organized with the ability to problem solve and take multiple internal and external stakeholders into consideration. Duties will involve greeting visitors, answering incoming phone calls, purchasing office supplies and taking proper inventory, and supervising our office procedures to ensure maximum productivity. In addition to the general reception responsibilities, you will assist the Accounting department with data entry, processing, and recording transactions, updating the ledger, assisting with audits or fact-checking, and reports. You should be organized, thorough, accurate, and honest with good bookkeeping skills. The ideal candidate will be able to show initiative in identifying inefficient procedures and take it upon themselves to correct these outdated practices.To be a successful hire, you will need to have prior experience in office administration. You will also need to be proficient in Microsoft Office applications such as Word and Excel.Description Of Job Responsibilities
  • Accounting responsibilities to include preparing and monitoring payments; preparing monthly aircraft lease invoices; recording/reconciling flight hours; addressing customer invoice and payment inquiries; and sorting and filing of all accounting and aircraft documentation
  • Greet clients and visitors with a positive, helpful attitude and help to maintain workplace security by controlling office visitors
  • Supports company operations by maintaining office systems and assisting in supervising staff.
  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and monitoring clerical functions.
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Maintains office staff by helping with recruiting, selecting, orienting, and training employees.
  • Scanning physical documents and converting to electronic format for database input
  • Performing ad-hoc administrative duties
  • Contributes to team effort by accomplishing related results as needed.
Other Duties As AssignedOther duties could include working in areas of the company to provide support during absences or shortage of staff in other areasTechnical Knowledge, Skills And Experience
  • Prior experience as an Accounts Payable Front Desk, Accounting Administrator or in a related field.
  • Knowledge of bookkeeping and general accounting required with preference being given to an individual with formal accounting training
  • Experience with Accounts Payable and Accounts Receivable controls considered an asset.
  • Formal accounting education considered an asset
  • Consistent, professional dress and manner.
  • Excellent written and verbal communication skills.
  • Strong computer skills including an intermediate to advanced knowledge in Microsoft applications including Word, Excel, and Outlook including ability to prepare forms and professional documents
  • Good time management skills.
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team, helping with various tasks as required.
