The Location Administrative Assistant performs complex, specialized administrative duties with minimal supervision. This person coordinates, tracks and reports data, completes projects and ensures the smooth operation of the location’s Reception Area. A majority or significant portion of the job involves support requiring specialized knowledge, skills and competencies that are unique to the function or department.

Responsibilities

  • Answers and screens incoming calls to provide information and direct calls to appropriate staff. Requires a thorough knowledge of a department or work group(s) and an ability to interpret policies, procedure and practices within the assigned areas.
  • Attends and participates in departmental meetings. May organize, provide input, take minutes and distribute information.
  • Composes and/or prepares correspondence, spreadsheets and presentations. Proofreads for content and typographical errors and supplies correct spelling, punctuation and grammar as needed.
  • Establishes and maintains files, reports, and other hardcopy of computerized information related to departmental operations. Information may be highly confidential.
  • Coordinates and schedules travel and meeting arrangements.
  • Codes, verifies and processes expense reports and invoices for supervisor and other staff.
  • Responds to employee inquiries about department or company programs, practices and procedures.
  • Sourcing and purchasing goods and materials for all departments and maintaining good relationships with vendors.
  • Maintains and updates calendars for supervisor or departments.
  • May assist with payroll activities; this includes data entry and accurate maintenance of records and may serve as a Time Data Entry Coordinator (TDEC) in executing HR R/3 functions related to payroll procedures, and time data entry.
  • May assist in the preparation and maintenance of the department budget and related program expenses.
  • May lead the work of other employees in accomplishing administrative responsibilities. May assign work, provide instructions and provide input about employee performance.
  • Will be a primary source of support for the Administrative Team but will be responsible for providing support for all other site teams as needed.
  • Job will require extended hours with weekend work during seasonal peaks.
  • Other duties as assigned.
Qualifications

Requirements:

  • Minimum of a High School diploma
  • Additional courses in office administration or computer training
  • Minimum of 1-2 years of related experience
  • Knowledge of agricultural processes and/or agricultural background an asset
  • Good project coordination skills
  • Proficient PC skills including word processing, spreadsheet, and database usage (i.e. Microsoft Office Suite, ACCESS, etc.) and the ability to troubleshoot
  • Good spelling, grammar, and business writing skills
  • Strong mathematical and computational skills
  • Records management skills
  • Must be organized, and possess good time management skills, and able to balance several things at once
  • ability to work independently as well as part of a team
  • Excellent communication and interpersonal skills and the ability to maintain internal and external relationships with customers
  • Must be able to manage multiple tasks and competing priorities, and have excellent attention to detail
