Andritz Hydro is seeking an Administrative Assistant to support the management team members as well as the human resources department in a professional manner. The incumbent will provide high quality support for coordination, communication, administrative assistance for members of the management team and the human resources department.



To be successful in this role, the incumbent must be proactive, meet deadlines and communicate effectively. Our ideal candidate also has excellent grammar combined with writing skills, in both French and English.



RESPONSIBILITIES



  • Professionally represent the Andritz executive team to external parties (eg clients, associations, Andritz board members, subcontractors and other organizations);
  • Make travel arrangements and prepare expense reports for senior executives;
  • Plan appointments and events;
  • Coordinate daily calendars of senior executives;
  • Participate in meetings to take minutes and update and track actions logs;
  • Prepare or assist in preparing some communication packages in French or English (i.e. board meeting notes, employee presentations, etc.);
  • Administer the processes related to HR activities in Andritz’s HRIS (APeople), including hiring requests, posting, onboarding process and other HR related aspects;
  • Maintain the accuracy of information in APeople;
  • Compile the training data for the production of the annual report of training expenses;
  • Support recruitment activities: conducting phone screens, coordinate interviews, etc.;
  • Write and distribute HR communications (i.e. organizational changes, job confirmation, etc.)
  • Facilitate internal communication (e.g. distribute information and schedule presentations);
  • Create regular reports and update internal databases;
  • Act as the point of contact with AMEX and travel agency (CWT);
  • Obtain the required signatures on documents and, in some cases, act as Commissioner for Oaths.



SKILLS & COMPETENCIES



  • Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar role;
  • College degree (or equivalent experience) in a relevant field;
  • Solid experience with MS Office;
  • Bilingual in French and English, including proven writing skills is a must;
  • Experience exercising discretion and confidentiality with sensitive company information;
  • Must be client focused and service oriented;
  • Knowledge of an integrated HR system (eg SuccessFactors or Workday) considered an asset;
  • Familiarity with online calendars and cloud systems;
  • Strong communication skills (via phone, email and in-person);
  • Excellent organizational skills with an ability to think proactively and prioritize work.
