As a member of this team, you will be responsible for
PROPERTY ADMINISTRATIVE SUPPORT
  • Processing of invoices (through Basware), including coding verification, capital, and leasing payments (verification of information in Procore and in collaboration with project managers and vendors).
  • Management of purchase order system.
  • Prepare and report on monthly/year-end accruals (including backup).
  • Vendor Management (set up and Contractor Check compliance)
  • Other administrative supports including but not limited to maintaining customer information database, documents, CRMs, etc.
  • Maintain central tenant filing system and administrative files.
  • Assist in maintaining listings and documentation relating to bike parking, customer mailboxes and other customerss
GENERAL ADMINISTRATIVE
  • Respond to tenant inquiries.
  • Assist in coordinating /ordering office/kitchen supplies for site teams as approved by Operations and Property Managers. OFFICE SUPPORT
  • Provide admin support to office reception, the property team, and other departments as the need arises.
  • Provide coverage for office reception.
To succeed in this role, you:
  • Have a high school diploma. A diploma or certificate in Business Administration/Administrative Assistant is preferred.
  • Have a minimum of 3 years of experience in an administrative role.
  • Have strong skills in the use of MS Office programs (Word, Excel, PowerPoint, Outlook, Teams).
  • Are independent and self-motivated - able to work with minimal direction.
  • Have excellent planning, prioritization and time leadership skills and willingness to take ownership of tasks.
  • Have proven accuracy skills with high attention to detail.
  • Have excellent communication skills both written and oral.
  • Are deadline orientated – able to work under pressure to meet the deadline.
  • Are a strong team player.
  • Note: experience with JD Edwards is an asset
