Job Description


An Academic Program Administrator is required for the Arts & Science Program at McMaster University, a distinctive, limited enrolment, interdisciplinary undergraduate program. This position requires the incumbent to be flexible, organized, and an excellent communicator and team player. Reporting to the Director of Arts & Science, the Academic Program Administrator will work cooperatively as part of the Arts & Science administrative team as well as interact with current and prospective students, alumni, and a wide range of faculty and staff at McMaster.

Job Summary
This role will develop, implement, and maintain the efficient operation of an academic program, department or faculty. Responsible for providing overall administrative direction including coordinating all aspects of the program, such as curriculum administration, implementation, promotion, recruitment, admissions, resource management, and budget management. Provide accurate and informed academic advice to students by ensuring a thorough knowledge of Faculty and University regulations as it pertains to judging appropriate applications and adapting to changes to course and program requirements. Responsible for recruiting academically strong students, assessing admission applications, and scrutinizing and approving registrations for a complex, multi-disciplinary program, department or faculty.

Purpose and Key Functions

  • Advise registered and prospective students of program options and requirements which requires maintaining knowledge of course and program curriculum.
  • Provide administrative direction regarding the goals and objectives of the program by examining, reviewing, and assessing long-term and immediate needs.
  • Identify and analyze problems with the program and prepare recommendations for review, approval and implementation.
  • Respond to inquiries regarding programs, admissions, course selection, registration, and correspond with faculty and other University departments regarding curriculum requirements. Refer students to appropriate resources, information, and services across the University.
  • Make independent admission decisions for applicants to University programs based on established requirements, requisites, University guidelines, and enrolment numbers.
  • Counsel students to ensure that they understand that course and program selections adhere to established academic, prerequisite, and graduation requirements, and academic procedures and policies (including petitions and appeals).
  • Create, modify, and maintain accurate master and customized degree audits to reflect current and past degree requirements.
  • Develop and validate list of eligible graduates for each convocation.
  • Review and manage ranking of supplementary applications for the purpose of applicant selection.
  • Use existing admissions criteria to assess program applications and determine which applications are declined admissions and which are eligible for acceptance. Assess student priority for limited registration in courses and provide suitable alternatives to meet degree requirements.
  • Review and evaluate academic records to ensure students are eligible to continue in and graduate from the program. Develop customized strategies to support at-risk students.
  • Investigate questions and resolve problems concerning program, curricula, and admissions.
  • Act as a mediator between faculty and students when dealing with various issues, including but not limited to, special accommodations, scheduling conflicts, grades, etc.
  • Gather and compile information required for a variety of documents and reports, including but not limited to, program accreditation, enrolment, and degree audits.
  • Develop estimates of time, resources, and budgets for various program activities and events.
  • Implement and maintain the program budget. Create financial projections and make adjustments to the program budget throughout the fiscal year.
  • Exercise appropriate controls, monitor, and reconcile accounts.
  • Develop marketing and advertising brochures for a variety of purposes, functions, and events.
  • Promote the program to visitors and representatives both internal and external to the University.
  • Represent the program at various recruitment events.
  • Develop and present academic advising and registration sessions to new students and information sessions.
  • Plan and coordinate a variety of events, such as, supplementary application review sessions, examinations, University fairs, and course conferences
  • Select, train, and prepare students and staff who participate in recruitment events to ensure that potential applicants are accurately informed of program options and admission criteria.
  • Provide information for the development of recruitment publications.
  • Contribute to the selection of vendors for the development and production of promotional and recruitment materials for the program.
  • Mediate extensions, accommodations, and exam deferrals on behalf of the student where there are extenuating circumstances.
  • Review and process requests for Letters of Permission and Exchange permitting students to complete appropriate courses at other Universities.
  • Provide input and work collaboratively with staff from the Office of the Registrar and other Faculties for on-going system and database improvements, implementation, and development.
  • Deal sensitively, responsibly, and calmly with students who present with serious medical, social, and psychological issues, and refer to appropriate care.
  • Collaborate with appropriate stakeholders to develop academic plans for students with identified disabilities and advise on appropriate course selection, load, and request for accommodation.
  • Gather and calculate necessary information including sessional and grade point averages, and enrolment statistics.
  • Assemble and collate packages, course outlines, and departmental mailings.
  • Remain current with national and international secondary school curriculums to ensure admission requirements are met by applicants.
  • Create content for the program website. Update information and maintain the website.
  • Survey and monitor academic programs offered by competing institutions and conduct research into pedagogical practices.
  • Conduct student surveys to ensure that academic programs are meeting the needs and objectives of both the student and the program.
  • Prepare and deliver presentations.
  • Facilitate meetings with, including but not limited to, program stakeholders and student groups.
  • Source pricing information and independently make decisions regarding the purchase of equipment and supplies for the program.
  • Input financial and other information required to process payroll.
  • Update and maintain student and alumni records, databases, and departmental recordkeeping processes.
  • Write a variety of documents including, but not limited to, correspondence, meeting minutes, forms, professional accreditation certification, certifications letters, and guidelines.
  • Coordinate course management and delivery including working with Scheduling and Examinations Office and reviewing course outlines.


Supervision

  • Ongoing responsibility for hiring and supervising 10 or more casual employees at any one time
  • Occasionally provide orientation and show procedures to others.

Vaccination Policy Statement
