Work Arrangements

This regular full-time (35 hours per week) position is available starting October 24, 2022. Regular hours of work are Monday to Friday, 8:30 – 4:30 pm. Shift times may change depending on the need of the Department. Occasional evening and/or weekend work may be required. The position is located at the Coquitlam campus Bookstore; however, the successful candidate must be available for occasional work at the New Westminster campus.

The Role

To purchase and control inventory and maintain computer records for course materials, including print, etexts packages and other formats for resale in the College Bookstore. Researches, gathers, organizes and summarizes complex course materials information while providing varied and effective support for critical textbook system. Provides exceptional client-centred service on a consistent basis to all stakeholder groups.

Responsibilities
  • Researches, determines and purchases course materials for resale. Prioritizes, processes and completes vast amounts of course material requests within time constraints.
  • analyses product mix of text, text with electronic text, etexts using inventory, enrolment and other relevant data;
  • compares monthly sales and cost/profit analysis reports to determine changes in buying patterns;
  • assesses and tracks market trends and plans seasonal purchases;
  • investigates sources and competitive pricing and establishes supplier relationships;
  • evaluates and processes customer orders.
  • Maintains a variety of computer databases.
  • ensures database files are maintained and updated; establishes and maintains course materials inventory database;
  • issues and maintains purchase orders in a computerized system;
  • scrutinizes inventory files and reports to ensure database integrity;
  • establishes and maintains vendor database.
  • Controls inventory levels, purchasing and pricing for book items for resale.
  • determines buying levels of textbooks by analyzing data and historical statistics
  • targets inventory levels and turns for maximum profitability;
  • Determines course materials to be returned to the publishers based on publisher deadlines and seasonal requirements;
  • Prices course materials competitively, maintaining appropriate profit margins;
  • analyses sales statistics for variances in profit margins to ensure established pricing margins are maintained;
  • communicates effectively with staff, faculty, chairs, administrators & suppliers to build and maintain harmonious relationships.
  • Demonstrates continuous effort to provide quality customer service to all stakeholder groups. Researches editions, formats, availability, status and resolves issues.
  • Serves in key position for conducting periodic physical inventory and annual inventory using a computerized inventory/sales system;
  • Performs other related duties.
  • merchandises and protects inventory;
  • receives and processes sales, authorizes returns, exchanges and credit limits; in-house charges and sponsorships; deposits cash and cheques daily; prepares documentation for armoured car pick-up of Bookstore deposits;
  • responds to requests for service and information, receives and resolves concerns and complaints;
  • Coordinates buy-back personnel, schedules and advertising;
To Be Successful in this Role You Will Need
  • Excellent working knowledge of the English language (written and verbal).
  • Minimum of two years’ working experience in a post-secondary institutional Bookstore procuring course materials or an equivalent combination of experience in a related field.
  • Demonstrated working knowledge of computerized Course Materials Purchasing Systems, Point of Sale terminals along with purchasing methods and principles, sources of supply and regulations governing customs, excise, applicable taxes and transportation of goods.
  • Sound working knowledge of accounting practices and procedures.
  • Demonstrated working knowledge of publisher internet databases and other electronic tools and reference materials used in the procurement of course materials and other course required materials.
  • Excellent interpersonal and communication skills to establish, maintain and build cooperative relationships with all internal departments as well as external agencies and supplies.
  • Ability to keyboard 40 w.p.m. accurately with experience and knowledge of PC software including MS Office.
  • Demonstrated ability to work independently, analyze problems, determine solutions, make decisions with a minimum of direct supervision, as well as establishing priorities and meeting deadlines.
