Position Summary

Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.

Duties & Responsibilities

Office Management

  • Perform reception duties by meeting and greeting clients and visitors and managing all phone calls and mail as may be needed from time to time.
  • Perform general clerical duties including but not limited to photocopying, scanning, mailing, arranging for courier services etc.
  • Order and manage office supplies and replenish supplies.
  • Managing incoming and outgoing mail and couriers.
  • Coordinate lunches for Executive team (CEO, President, CFO & Managing Director) on a daily basis.
  • Order and coordinate lunches for Board meetings, client meetings and Executive ad hoc meetings
  • Organize the monthly company lunch
  • Reconcile Executive spend visas (Canadian & US)
  • Manage Executive Personal Expense Reports
  • Manage and submit WSIB, WCB and Certificate of Insurances for the Finance Department
  • Book employee hotel stays

Ad-Hoc Work

  • Performs other related duties as assigned.

Qualifications

  • A post-secondary degree/diploma in business or comparable experience.
  • Previous administrative experience in a small to mid-size entrepreneurial environment.
  • Exposure to travel bookings is a definite asset.

Working Conditions

  • Office environment.
  • Some duties may be required outside of the office.
