RoleOverview

Reporting to the Manager, Investment Administration, the Investment Administrator works as part of a team responsible for providing administrative, clerical and back office support. The Investment Administrator contributes positively to the organization by processing documentation and transaction requests submitted from the Advice and Service Delivery teams, performing various follow up procedures and responding to investment requests and member inquiries or other needs as requested. The Administrator will have primary responsibility for the various functions related to processing registered investments requests, and investment account modifications, CRA and pension legislation compliance and the ability to provide backup within the department as necessary.

KEY ACCOUNTABILITIES

  • Responsible for ensuring accurate and timely completion of registered investment requests ensuring CRA and pension legislation compliance.
  • Responsible for providing administrative support to the Advice and Service Delivery teams as required including management of incoming document packages and on-line submission requests for processing, distribution of fax and/or email requests for processing, and responding to inquiries.
  • Responsible for providing the Advice and Service Delivery teams with registered investment support including CRA tax slips, pension legislation requirements, lawyer and real estate trust, RESPs and estates.
  • Responsible and accountable for reviewing registered investment documentation and system-generated investment administration reports to identify and initiate any action required.
  • Responsible for contributing to the development of administrative processes, objectives and procedures by providing recommendations to improve current processes and procedures with a focus on efficiencies and meeting service standard commitments.
  • Ensuring estate data is accurately input on the banking system including, but not limited to: date of death, member name modified to indicate estate, freezing funds when required, placing appropriate restrictions etc.
  • Responsible for developing and maintaining working rapport with internal and external members to exchange administrative information and clarify ongoing administrative support needs.
  • Responsible for providing timely and accurate processing on Outlook Financial including, but not limited to the following: opening and closing memberships, preparing and issuing member communications, issuing pre-pinned member cards, processing investments etc.
  • Each administrator will have a primary responsibility while providing back-up support in the team.
  • Responsible for maintaining a full understanding and prioritization of short and mid-term administrative needs for stakeholders and the impact of activities and advice provided.
  • Responsible for resolving moderately complex issues within current procedures by selecting from standard courses of action, determining new courses of action or identifying and escalating more complex issues to higher levels.
  • Required to keep strictly confidential the affairs of anyone whose private information becomes available to them in the course of their duties
  • Responsible for validation of accurate document packages submitted from the Advice and Service Delivery team according to established policy
  • Responsible for maintaining thorough and current knowledge of Credit Union policies, procedures and related CRA regulation and pension legislation.
  • Responsible for providing accurate and timely back office administration support to the Advice & Service Delivery teams for registered investment account transactions and maintenance including but not limited to:
    • Ensuring registered plan estate payouts and CRA tax slips are filed accurately
    • Ensuring the accurate completion of required Concentra documentation for RESP administration
    • Ensuring Lawyer Trust and Real Estate trust documentation and new account set-ups are accurately completed including interest PAT for monthly submission to Manitoba Law Foundation
    • Performing routine verifications and review of virtual banking system generated reports according to established Credit Union guidelines and identify and initiate action required.
    • Daily and monthly monitoring and reconciliation of investment administration related internal accounts and GLs.
    • Ensure related tasks are completed as required including but not limited to: CAFT, pre-authorized transfers, registered account set-ups and maintenance, RIF payment set-ups, CRA amendments, etc.
    • Monitor and process all minimum annual distributions for RIF/LIF plans annually by the last day of the year as required by CRA
    • Process LIF payments without exceeding maximum limit as established by pension legislation
    • Ensure processing of maintenance transaction requests are completed accurately and timely as requested by the Advice and Service Delivery teams.
    • Verification of GIC Renewal notices for distribution to members
    • Provide back up for filing product offering and administration

QUALIFICATIONS

Education and experience

A minimum of grade 12 diploma plus one to three years of job related experience or an equivalent combination of education and experience.

  • Basic accounting skills
  • Knowledge of credit union products, policies and procedures
  • Working knowledge of credit union technology (e.g. Banking System, Microsoft Office, Internet)
  • Basic computer application skills
  • Knowledge of credit union philosophies and principles
  • General understanding of credit union operation
  • Knowledge of Manitoba estate legislation and regulation is an asset.
