Position Description


Reporting to the Program Manager, the Education Administrative Coordinator, you will act as the key point person for all day-to-day administrative activities for the program. The Education Administrative Coordinator sets the pace of the program by tracking tasks for the team and performing essential planning and administrative functions to support the delivery of the ECHO Ontario: Epilepsy program.

Project Description

ECHO Ontario: Epilepsyis a technology-enabled, collaborative Continuing Professional Devlepment (CPD) accredited learning program that partners community health care providers and epilepsy specialists to enhance care for children, adolescents and adults living with epilepsy.

Recognizing limited access to neurology and other specialties, our epilepsy interdisciplinary team connects with providers in communities across Ontario via one-to-many videoconferencing for 60-minute "ECHO sessions". Sessions can be accessed from a smart device or laptop from anywhere with an internet connection. The session opens with a quick 10-15 minute didactic talk delivering relevant clinical pearls on a topic of interest. It then closes with an interactive case that providers work through with te interdisciplinary expert team leading the session. Through sharing evidence-informed knowledge an actionable care plan for patients are developed.

The ECHO Ontario: Epilepsy teams are based at various hospitals across the province. They are:

  • Hamilton: Hamilton Health Sciences and McMaster Children’s Hospital
  • Kingston: Kingston General Hospital
  • London: London Health Sciences Centre and the Children’s Hospital
  • Ottawa: The Ottawa Hospital and the Children’s Hospital of Eastern Ontario
  • Thunder Bay: Thunder Bay Regional Health Sciences Centre
  • Toronto: Hospital for Sick Children and University Health Network (TWH site)

Here’s What You’ll Get to Do

  • Coordinate the work of the members of the program team, including organizing and scheduling meetings (in person or virtual), generating agendas and recording minutes

  • Schedule and assist with other aspects of planning virtual education sessions, in-person educational events, other ad hoc meetings

  • All other administrative tasks related to preparing and smooth operation of all weekly ECHO sessions

  • Record and track registration of program participant and faculty attendance

  • Process program expenses and complete necessary accounts payable forms, track payment completion

  • Provide administrative support with coordinating the receipt of education materials and reviewing, formatting materials, such as powerpoint slide decks

  • Attend live educational sessions regularly and contribute to the delivery of the session

  • Track CPD hours accumulated by participants and distrubute CPD certificates, as needed

  • Administer surveys as needed to support the program

  • Correspond with internal and external stakeholders, as required

Here’s What You’ll Need

  • Self-motivation, detail-oriented, an inclination towards continuous improvement
  • An analytical mindset with problem-solving skills
  • Have a strong understanding of databases and database maintenance
  • Exceptional interpersonal and communication skills, both verbal and written
  • Demonstrated excellence in organizing and prioritizing workflow
  • Completion of an undergraduate degree
  • Minimum 3 years related experience within a teaching hospital or university setting or comparable educational environment
  • Superior keyboarding skills and solid working knowledge and confidence with Microsoft Office Suite, particularly strong Excel skills
