We are seeking an enthusiastic bi-lingual (English & Spanish)Executive Assistantto join our global Sustainability team. This role will provide high quality administrative support to our Vice President, Sustainability. To be successful in this role you must be able to take initiative, be a flexible/adaptable team player, coupled with strong organisational skills, and a customer service-oriented approach to your work.
About The Role
- Organizing calendars, clarifying purpose, priorities and required materials for appointments, meetings, conferences and seminars.
- Coordinating various weekly, monthly and quarterly meetings, including agendas, notes, follow-up on action items, decision logs and work in progress reports, catering, equipment, materials, and other related requirements.
- Liaising with various departments across the Americas, supporting with driving initiatives forward and follow-up of action items.
- Providing administrative support for business and strategic planning which may be complex in nature and, at times, confidential (financial reports presentation, etc).
- Preparing expense submissions, coordinating travel arrangements, itineraries etc.
- Coordination and set-up of webinars, lunch and learns, and other events.
- Coordination and promotion of internal social activities.
- Building and maintaining strong internal and external relationships, responding to any inquiries in a clear and efficient manner.
- 5 – 7 years of administrative experience in a professional work environment supporting senior leaders.
- Experience working within a professional services firm, or the environmental and/or engineering consulting industries will be an asset.
- Bilingual in English and Spanish is required
- Adaptable and proactive, when faced with change and ambiguity and with the ability to manage competing priorities under minimal direction or supervision.
- Pay close attention to details, accuracy, timeliness and able to work in a fast-paced environment.
- Demonstrated ability to maintain discretion and strict confidentiality.
- Friendly and professional demeanor and ability to interact with all clients, staff and management and embrace a collaborative culture.
- Advanced skills in office software including MS Word, Excel, PowerPoint, Outlook, Teams and other software specific to the role. Experience using Oracle is an asset.
