St. Clair College is seeking an experienced and motivated professional who shares our commitment to quality and student success.

POSITION SUMMARY:
The incumbent is the main contact for college staff and the general public regarding human resource related issues and activities. The incumbent books appointments, relays calls and provides factual information in a customer-service oriented manner. Provides administrative support to all the team members in Human Resources. Assists with People Soft data entry, compiles data and liaises with admin assistants and/or managers to ensure accuracy of information and assists with Partial Load Benefit sign ups/changes, part time employment contract entries. The incumbent provides support to the recruitment process (full, part-time and general call), including drafting postings from the Staff Requisition and Position Description Form contents, maintenance of recruitment website and database information;
Maintains departmental files, Clerical Pool files, administers clerical and job specific testing, prepares letters for unsuccessful candidates and is responsible for related record keeping. The incumbent will also schedule and record monthly meeting minutes for the Part-time Union College Campus Committee and on occasion acts as a backup for the HRIS Officer when needed.

CORE DUTIES & RESPONSIBILITIES
Recruitment Assistance 40%

  • Acts a liaison with hiring managers, President’s Office, applicants and job posting sites, testing software site.
  • Opening and maintaining competition file records. Maintains electronic records database of all competitions.
  • Drafts correspondence for manager regarding outcome of competitions to candidates.

General HR Office Duties 25%

  • Responds to a wide variety of telephone, email and in person inquiries from college staff and members of the general public for human resources/general information.
  • Sets appointments for staff with department managers and support services officers.
  • Refers to other departments or individuals as appropriate.
  • Daily data input into client service database.
  • Maintains efficient office systems and procedures, including an accurate and reliable record and retrieval (filing) system all full-time files and Clerical Pool files.
  • Administers Clerical Pool testing and job specific testing, maintains electronic testing database.
  • Regularly updates Human Resources forms and ensures relevance and accuracy of information.
  • Assists with Human Resources Departmental workload, e.g., correspondence, resume log, mail, work orders, IT requests, purchase requisitions, office supplies ordering and other departmental correspondence/ spreadsheet processing as required. Ensures a welcoming appearance of the main office area and other

Departmental tasks, as required.

Part-Time Employment Contracts/Partial Load Benefit Sign Up 25%

  • Responsible for the first steps in processing, on a time limited basis, all part-time Employment Contracts, which include new hires, promotions, extensions, transfers, rollovers etc.

Back-up to Human Resources 5%

  • During peak and vacation periods the incumbent provides back-up to the HRIS Officer, Benefits Officer, etc.

Other duties as assigned 5%

MINIMUM QUALIFICATIONS
EDUCATION
The ideal candidate must possess a minimum of a 3-year diploma/degree in Human Resources, Business Administration, or equivalent. A CHRP designation would be considered an asset.

EXPERIENCE
The ideal candidate must possess a minimum of 2 years’ experience in a busy secretarial position dealing with a variety of clients is required for success in this position and/or applicable education or experience. Attention to detail with strong accuracy, data entry and computer skills. Knowledge of the Freedom of Information and Protection of Privacy Act (FIPPA) essential. Human Resource experience is a definite asset.
