The City of St. Albert’s Human Resources & Safety department is seeking an experienced, professional and personable Administrative Assistant to join our team for a term assignment.

Reporting to the Manager, Total Compensation and HR Analytics, the Administrative Assistant II will work as part of the Administrative Team to provide a full range of administrative services for the Human Resources & Safety Department, including:

• preparing and/or distributing correspondence and data entry

• providing prompt and professional customer service to internal and external clients of the office

• addressing in person, phone and email inquiries either by responding directly or referring clients to the appropriate source of information

• updating the staff Intranet site

• maintaining an inventory of supplies and coordinating replenishment

• distributing department mail

• creating and updating department guidelines and/or protocols

• verifying expenditures, determining account coding and processing invoices for payment; and

• filing

The individual we are seeking is highly skilled in all aspects of office administration, is customer-focused, and is a team player. The role is well suited to someone who has strong organizational skills, great attention to detail and experience working in a fast-paced environment. The position requires discretion and confidentiality.

QUALIFICATIONS

  • A High School diploma along with completion of a post-secondary certificate in Office Administration and a minimum of three (3) years related work experience in the area of Human Resources.
  • Strong word and data processing skills using programs of the MS Office Suite (Word, Excel, Outlook and Teams primarily).
  • Prior experience using Human Resources Information Systems, Applicant Tracking Systems and/or other related computer software is a definite asset.
  • Highly organized with great attention to detail and accuracy.
  • Great interpersonal and conflict resolution skills, diplomacy, empathy, as well as the ability to clearly communicate, both written and oral, while maintaining confidentiality at all times.
