The Student Connect Centre Advisor, Program Liaison supports and manages client relationships with prospective, new, and current students by delivering advising services; implementing strategic enrolment goals and plans; representing assigned School and academic programs; and marketing and promoting information about Red Deer Polytechnic (RDP) programs and services including student support and work integrated learning opportunities. The position is part of a collaborative team that builds and improves the processes attracting learners to RDP supporting them to make informed decisions with the aim of becoming self-directed as they plan their pathway from education to career.

Using a learner-centered approach this position will retain prospective, new, and continuing students through advising ensuring they have the appropriate supports, training, and information to successfully achieve their educational goals. The role requires the ability to solve complex problems, make recommendations, and offer solutions to support strategic enrolment management targets for assigned programs and schools while exercising independent judgment and maintaining confidentiality. This position requires a high degree of flexibility, creativity, initiative, and collaboration.
Job DutiesProgram Advising and Retention
Academic Programs:

  • Deliver academic program advising to current and prospective students as the primary advisor for assigned school.
  • Educate students about career and academic planning providing accurate academic program planning information based on the student’s identified pathway.
  • Maintain up-to-date academic program planning information in multiple formats.
  • Provide accurate information to prospective and current students related to transfer credit, pathways, and prior learning assessment.
  • Assist students with application, admission, and registration processes.
  • Supports admission to programs through review of assessments and testing results used to place students in appropriate courses and programs based on academic goals.
  • Deliver new and continuing student registration training.
  • Manage program enrolment including monitoring of course registration reporting capacity, trends and issues to Associate Dean(s) and Associate Registrar, Learner Services.
  • Process transfer credit as applicable.
  • Add and drop courses upon student request.
  • Provide coverage for designated alternate SCC Advisor in their absence.
  • Communicate with faculty, Associate Deans, and Deans as the primary liaison for assigned School.
  • Attend assigned School Council meetings to report, and receive direction, on strategic enrolment management initiatives and activities.
  • Manage social media accounts of assigned school and programs including coordination of student and faculty social media take-overs.
  • Train assigned alternate SCC Advisor on the intricacies of the programs within assigned School including, academic and non-academic admission requirements, in-program requirements, transfer credit and/or prior learning assessment options, and program completion.
  • Participate on the Strategic Communication Group and deliver coordinated communication tactics as assigned.
  • Coordinate and support New Student Orientation and Program Spotlights.

Emergency Funding:

  • Recognize that a student is in crisis, even if the student is not forthcoming regarding the full nature of their situation.
  • Advise students on the application process for a food bank referral, emergency loan, and/or emergency bursary.
  • Issue emergency refunds and book loans.
  • Refer students to services at RDP and in the external community.

Financial Wellness:

  • Refer students to financial wellness services at RDP and in the external community.
  • Assist students to budget their resources.

Awards:

  • Screen students and refer them to the award opportunities they may be eligible to receive.
  • Guide students through the application processes for RDP and government awards.
  • Advise students on the status of their award application(s).
  • Provide instructions for submitting the documentation required for award disbursement.
  • Advise students of the disbursement process for various awards.
  • Generate a list of awards students have received through RDP.
  • Respond to student requests for details on specific RDP awards.
  • Advise students regarding the consequences of academic decisions as related to awards.
  • Direct students to external award opportunities.

Funding:

  • Screen students and refer them to the appropriate type of funding for their unique situation.
  • Guide students through the application process for all types of funding.
  • Advise students on the process for submitting missing information and funding appeals.
  • Provide instructions for processing funding certificates, agreements, etc.
  • Advise students on the status of their funding.
  • Guide students through the tuition payment process for all types of funding.
  • Guide students through the tuition extension eligibility requirements and process.
  • Advise students on interest free status eligibility and guide students through the process of applying for interest free status.
  • Provide information on student loan repayment and repayment assistance programs.
  • Advise students of consequences of academic decisions as related to funding.
  • Sign government forms related to funding (authorized signing official).

Client Service

  • Respond to inquiries made in person, by phone, email or mail within established standards.
  • Inform Associate Registrar, Learner Services of emerging issues as necessary.
  • Review and provide information to the SCC Advisor – Marketing and Communications to ensure currency of all information resources.
  • Maintain knowledge of RDP policies and procedures contributing recommendations to policy and procedure revisions.
  • Collect and record prospective and current student information ensuring compliance with FOIPP and CASL requirements using Banner, Grad Tracker, and Client Relationship information systems.
  • Support the delivery of training to students (Financial Literacy, Advising Tutorial, Grad Tracker)
  • Provide coverage in the absence of SCC Advisors.
  • Support events and initiatives including Campus tours, Open House, and Convocation.
  • Market and promote all programs/courses including work integrated learning and co-curricular opportunities.

Required Qualifications

  • Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of University in a related program representing four years of study or equivalent in any academic discipline area.
  • Driver’s License and clean driver’s abstract.
  • 1 – 2 years of experience
  • Experience in the post-secondary sector
  • Student advising and counseling experience
  • Superior communication skills including the ability to deliver presentations (both written and verbal)
  • Excellent relationship building and interpersonal skills
  • Ability to source, compile, and interpret data for presentation to others
  • Must be able to manage competing priorities and deadlines in a high volume work environment
  • Must be willing to work independently and collaborate with others to achieve goals and objectives
  • Proficiency with technology, Microsoft Office, and information systems such as Banner, Degree Audit, and Constituent Relationship Management
