The Role:

The Sales & Marketing Administrator is a supporting role that facilitates departmental administration and organization. This role is responsible for the management and execution of ongoing sales releases, maintenance, executing centralized sales administration requirements, overall departmental organization and contributing to meeting sales goals and building the Caivan brand.

RESPONSIBILITIES:

Sales Administration

  • Execution of head office Sales Administration, in support of company-wide Sales Office through the maintenance and daily use of Caivan’s ERP system (Newstar)
  • Drive the coordination and execution of Sales Releases throughout the year
  • Back office administrative support for the sales team including providing updated pricelist packages, agreement schedules, etc.
  • Creation and maintenance of agreement of purchase and sale including associate schedules
  • NewStar sales setup including lot creation, lot releases, price inputs, etc.
  • Assist in driving, management, and execution on launch events for new community sales offices as required
  • Have presence at and assist at major releases and community launch events
  • Assist in coordination of community launches and events

Model Home & Sales Office Compounds

  • Assist with the fit and finish and maintenance/operation of new and existing Sales Centers/Model Home Compounds as required

General Departmental Administration

  • Input, management, and maintenance of departmental shared calendar with key dates/events.
  • Responsible for meeting agendas, minutes and note taking.
  • Management and maintenance of departmental document library and ensure complete archiving of Sales & Marketing collateral (management and organization of departmental SharePoint sites)
  • Management and execution of various departmental policies and procedures
  • Oversee, order and maintain inventory of marketing materials and collateral (pricelist packages, gifts, etc.)
  • Other duties within the scope, spirit and purpose of the job as requested by management.
  • Adhere to brand style guidelines to ensure consistency in work quality and branding

SKILLS & KNOWLEDGE:

  • College diploma in marketing, business administration, event planning, project management or related fields
  • Minimum of 2 years’ experience in an administrative or coordinator role
  • Excellent written and verbal communication skills
  • Exceptional attention to detail including the ability to proofread and edit business documents
  • Proven ability to meet deadlines, multitask and prioritize work
  • Strong computer skills with advanced proficiency in Microsoft Office
  • Experience with SharePoint and Lasso is considered an asset
  • Great team player and ability to work well with others
