Position Summary:
The Faculty of Nursing seeks to add a dynamic and outgoing individual to assist with student registration. This position is responsible for supporting Faculty of Nursing programs and initiatives. The Faculty of Nursing provides nursing education through on-site, online, and remote learning to students in Regina and Saskatoon, with a vision of expanding this to other geographical locations in the near future. Courses offered on-site in the Saskatoon location will be delivered at the Saskatchewan Polytechnic campus.
Duties and Responsibilities:
  • Responds to in-person, telephone and email inquiries from students, the university community, program partners and the general public (includes regular monitoring of the faculty’s general email account)
  • Directs students to Academic Advisors or other supports as appropriate
  • Answers inquiries related to course registration procedures and assists students with in-person and online registration, including instructing them on special registration permissions
  • Maintains and updates electronic student records
  • Manages registrations for program students
  • Provides detailed and continuous tracking of student data (including program progression)
  • Provides forecasting information for scheduling and registration purposes
  • Contributes to the development and assists with the implementation of operational processes in the nursing student services office
  • Responsible for planning workflow to manage the multiple processes in the student services office
  • Assists with coordination of duties and provides direction to other nursing student services administrative staff
  • Prepares a preliminary audit of convocation applications and completion of convocation processes
  • Compiles information and prepares correspondence with respect to academic action and other academic processes (e.g. scholarships, Dean’s honour list etc.)
  • Liaises with other offices and program partners to complete administrative tasks such as course scheduling/timetabling
  • Arranges and prepares meeting agendas and minutes for committees as assigned
  • Assists with student recruitment and retention activities, for which some travel may be required
  • Assists with scheduling of courses
  • Develops and maintains collaborative, professional working relationships with program partners
  • Acts as backup for other administrative support positions
  • Performs other duties as assigned
Position Requirements
Position Requirements:
  • Grade 12 is supplemented by the successful completion of a recognized business course plus a minimum of three years of experience directly related to the required duties. An equivalent combination of education and experience may be considered
  • Demonstrated knowledge of office practices, principles and procedures
  • Excellent organizational skills including a proven ability to work effectively with minimal supervision, prioritize work and balance multiple tasks and shifting priorities
  • Strong attention to detail and accuracy are essential
  • Proficiency in the use of MS Office Suite (Word, Excel, PowerPoint)
  • Strong oral and written communication skills – ability to effectively communicate with faculty, staff, program partners, students and community
  • Strong service-orientated background
  • Ability to handle confidential material with discretion
  • Exceptional interpersonal skills and an ability to develop and maintain effective collegial working relationships
  • Knowledge of the University’s programs, policies and processes including registration (URSS), convocation, academic action, transfer credit and grade changes
  • Knowledge of University information systems including Banner, CASPUR Reports, FAST, and GroupWise.
  • Knowledge of University policies on academic evaluation, discipline and appeals (eg. deferrals, withdrawals, academic misconduct and academic appeals)
  • Demonstrated reliability and good judgment.
  • Ability to demonstrate analytical and critical thinking skills.
  • Strong attention to detail is required.
  • Demonstrated skill in learning and operating a wide variety of databases and information systems.
  • Work outside regular hours may be required on occasion.
Physical Demands Pay Grade CUPE Phase 5 Salary Range $52,561.60 - $70,961.80 Annually Status Permanent Work Hours
Monday – Friday 8:00 am – 4:30 pm
