Overview:
The Proposal Coordinator will be responsible for aspects of completing proposals that adhere to the company’s established guidelines, vision and financial outline. The Proposal Coordinator will work with engineering, estimating, construction personnel and our Sales team to ensure the proposal meets all requirement in advance of submission deadlines.

As the proposal coordinator, you will work to edit and design the finalized proposal document. You will also work to communicate the proposal in various ways, including graphic layouts and PowerPoint presentations. You will ensure that the established ICT template is followed. You will be responsible for the coordination of multiple proposals at the same time and be responsible for communicating the progress of each proposal to the management team.
Responsibilities:
Job Scope and Tasks including and not limited to:
  • Coordinate all proposal development.
  • Using your technical writing ability, develop responses to RFP’s and RFQ’s withing the requested timeframe and in accordance with ICT standards.
  • Perform necessary document control activities to ensure that the proposal files are up to date and ensure all versions are tracked appropriately and dispersed to the team and needed.

  • Maintain up to date library of resumes, project profiles, presentations and photos while in compliance with the company standards.
  • Propose recommendations for improvement in processes or presentation standards.
Qualifications:

Job Qualifications:


  • Business Administration Diploma or Degree with a Marketing, Communications or Political Science focus or relevant experience.
  • Minimum 2 years of direct work experience in construction proposal environment
  • Familiarity with construction, engineering and technical terminology
  • Familiarity with CRM or similar customer relationship management system is an asset.
  • Familiarity with Ariba, PowerAdvocate, Bidnet and a various other customer bidding websites is an asset.
  • Proficient use of Word, Excel, PowerPoint, and Adobe
  • Excellent communication skills and technical writing skills
  • Ability to travel as required (5-10%)
