The Project Coordinator (PC) will ensure the prompt and accurate processing of invoices and progress claims. The PC will be responsible for record keeping, including labor, material and equipment information, safety documents, contracts and sub-contracts.

Key Responsibilities

Provide general on-site administrative assistance as required including word processing, filing, transmittal generation, and preparation of courier packages. Responsible for project office organization and cleanliness

Assist the Project Manager with tasks including planning, initiating, executing, communicating, change control and closeout

Communicate with consultants, project owner and sub-trades regarding project submittals

Apply for city permits

Create and/or update RFI’s, SI’s, Change Orders and shop drawings utilizing Procore

Assist Project Manager/Superintendent in all day-to-day activities as required

Track and receive Purchase Orders, deliveries and invoices

Accurate and efficient processing of invoices, sub-trade progress claims and all billing within deadline

Support all aspects of construction administration including contracts, change orders, all purchase orders, variance purchase orders, warranty, and on-site coordination

Assist with preparing and implementing project scopes, schedules, and budgets

Assist in maintaining accurate and up-to date logs (drawings, RFI’s, change request, extras), track and communicate with Project Management team

Maintain daily communication with Site Superintendents and record daily construction activity

Assist with preparation of permit packages and submission

Assist with communication between sub trades, construction crew, and office staff

Coordinate submittals and gather all close-out documents including drawings, warranties, operating and maintenance binders

Archiving of project binders, drawings and relevant documents for job close out

Attend project coordination and client, architect, engineer and design meetings as required

Record accurate meeting minutes and circulate to attendees

Desired Skills

1-3 years relevant work experience in residential construction

Exceptional written and oral communication skills

Recognized analytical and research skills

The ability to handle a heavy workload, multitask and prioritize

A strong work ethic, attention to detail, and excellent organizational skills

A technical Diploma or relevant University Degree an asset

Must be experienced dealing with confidential information in accordance with privacy rules

Experience in Procore and Bluebeam would be an asset

Must have excellent analytical and problem-solving skills along with organizational abilities

Detail and results oriented with the ability to multitask, and adhere to deadlines
