Job Duties/Qualifications, Skills and Abilities(QSA)

Job Duties
This position provides effective and efficient operation of administrative support to the School of Mining, Energy & Manufacturing and the School of Natural Resources & Built Environment. More specifically:

1. Provides administrative assistance and support to the School of Mining, Energy & Manufacturing, the School of Natural Resources & Built Environment and focused on providing support for the Saskatoon Campus but not limited to.
2. Assist with the composition and processing of lengthy and detailed documents.
3. Ability to proofread documents in their entirety for accuracy, grammar, spelling, pagination, graphic placement and overall presentation.
4. Photocopy documents (e.g. exams, student handouts, orientation information, and advisory meeting materials) and maintain security of such.
5. Coordinate and arrange meetings, workshops and presentations including taking minutes for program advisory committees.
6. Record and transcribe minutes and ensure distribution of the same.
7. Anticipate administrative requirements and handle routine matters, ensure efficient and effective flow of work and ensure quality output.
8. Responds to information requests in a professional and service oriented manner and providing appropriate referrals.
9. Independently organize and prioritize multiple tasks in a demanding work environment.
10. Maintain a high level of confidentiality for items of a sensitive nature.
11. Maintain a working knowledge of Saskatchewan Polytechnic policies and procedures.
12. Manage and maintain electronic and manual filing systems.
13. Occasional travel is required.

Specific Accountabilities

Duties

Required Qualifications, Skills and Abilities (QSA)
1. Grade 12 with a recognized office administration certificate or business certificate, or an equivalent combination of education, training and experience.
2. Two years’ recent and relevant experience performing administrative work.
3. Demonstrated intermediate level competence and recent experience in the use of but not limited to the Internet browsers, e-mail, MS Office Suite software (including Teams, Word, Excel, PowerPoint at a minimum), video communications, SharePoint, OneDrive, and the ability to learn and adapt to changing technology.
4. Training and/or experience in minute taking.
5. Excellent proofreading and editing skills.
6. Effective interpersonal and communication skills, including both oral and written.
7. Demonstrated organizational and problem-solving skills including the ability to take initiative and to multi-task with minimal direction/supervision.
8. Proven ability to maintain confidentiality and manage sensitive information.
9. Ability to function as a team member in an ever changing environment.
10. Demonstrates valuing diversity.
