ADMINISTRATOR – LAHAVE HEIGHTS, BRIDGEWATER, NS

We currently have an opening for an Administrator to provide administrative support for 2 residential properties in Bridgewater, Nova Scotia. This position is structured for a 32-hour work week, with some variation in hours during peak periods. Your standard schedule will be Tuesday-Friday. This is an on-site position.

ESSENTIAL DUTIES:
  • Responding to customer inquiries, both in-person and via telephone
  • Coding of invoices, expense claims, petty cash
  • Preparing, administering and monitoring excel spreadsheets for utilities tracking
  • Rent collection
  • Data entry into company database of new leases and rental payments – signing new leases
  • Handling all outgoing and incoming mail, courier packages and Registered Mail as required
  • Demonstrates a high degree of integrity, diplomacy, discretion and confidentiality
  • Maintain a mature, professional image and demeanor with customers, employees and visitors at all times with a strong focus on customer service
  • Maintain and monitor office supply inventory levels and place orders as required
  • Creating invoices, collecting rent, following up on NSF
  • Managing floats, balancing debit transactions, completing bank deposits
  • Working with lawyers and real estate agents to properly document sales transactions
  • Performing inspections to ensure that customers adhere to property standards agreement
  • Enforcement of property standards violations, as required
  • Performing credit checks on prospective customers
EDUCATION and/or EXPERIENCE:
  • Post-secondary education in a related field; or equivalent combination of education and experience
  • 4-5 years related experience, experience in Real Estate or Property Management industry preferred
  • Proven track record of providing exceptional customer service
  • Knowledge of the RTA
  • Clean Criminal Background Check
  • Clean Credit background Check
SKILLS & ABILITIES:
  • Strong skills in utilizing the Microsoft suite of programs, particularly Microsoft Excel
  • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • Excellent telephone manner, strong verbal and written communication skills
  • Advanced written communication skills a requirement
  • Professional, responsive, and positive work attitude
  • Previous experience in handling confidential or sensitive information; knowledge of applicable data privacy laws.
  • Able to understand accounting ledgers, credits, debits, etc.
  • Able to maintain filing systems and basic databases
  • Excellent problem solving, critical thinking and organizational skills
  • Must have reliable transportation for occasional property inspections
