THE OPPORTUNITY*
Over the past three years, Venterra’s Accounts Payable team has reduced a significant amount of data entry work and implemented advanced scan-capture and robotic process automation (RPA) technology to automatically gather invoice data. The massive reduction in manual data entry work has provided the team of 5 (including 1 Team Lead) with new capacity to focus their time on improving existing processes, delivering exceptional customer service to Operations, and working with the Technology group to drive further automation.
As part of our unprecedented growth, we are seeking a Manager, Accounts Payable to build upon our accounts payable group’s technology journey. The Manager, Accounts Payable will take a leading role in driving further AP improvements, developing their team, improving operations service levels, and expanding the team’s mandate into active vendor management and spend analysis.
To deliver on this mandate, we are seeking a high energy leader with a passion for leadership of a growing team, leveraging technology, operational service excellence, and acting as a catalyst for continuous improvement.
The role will report to the Director, Real Estate Accounting who will challenge the candidate to take on increasing levels of responsibility, innovate continuously, and develop their leadership abilities. As a part of the finance management team, the candidate will have a peer group to collaborate with and be challenged by on a regular basis as they work as a team to enable Venterra’s growth strategy.

KEY JOB RESPONSIBILITIES*

Accounts Payable (AP)

  • Lead, supervise and work with a team of 5 individuals, provide training and guidance on a daily basis
  • Responsible to manage the accounts payable department for a multi-entity, multi-currency structure to ensure all payments are processed accurately in accordance with policies and procedures
  • Oversight of the critical investor distributions payment process including setting up new investors for payment
  • Plan and organize the workflow to ensure all cutoffs and deadlines are met
  • Maintain and monitor control procedures to ensure accuracy and timeliness of processing of invoices
  • Responsible for cut-off procedures at month end and year-end
  • Cultivate and maintain relationships with vendors
  • Working with the purchasing department to leverage and build new KPI’s and dashboards to monitor AP processes and identify potential risks and opportunities in our business
  • Develop ‘Best Practices’ within the department, and create work flow processes and maintain task manuals in order to drive consistent and effective policies and procedures

Continuous Improvement and Technology

  • A relentless pursuit of continuous improvement through automation using technology and streamlining AP processes to drive down cycle time and reduce manual efforts
  • Become a key stakeholder and support the upcoming Procure to Pay and ERP re-assessment and design initiatives
  • Contribute and oversee process reengineering and automation of tasks by utilizing tools such as Excel, SQL, VBA and learning and implementing new technologies
  • Foster an environment and culture that encourages productivity, innovation, process improvement, teamwork, and a high level of professionalism

AP Customer Experience

  • Act as the Customer Experience (CX) Champion for the Accounting and Finance teams by overseeing the annual CX survey and delivering improvements to the business
  • Liaise with Asset Managers, Regional Managers, Property Managers and other operational staff to ensure that the Accounts Payables team is delivering high-quality responses and exceptional customer service as we support the business

CANDIDATE PROFILE

Minimum of 5 years of experience in Accounts Payable related role

  • Proven ability to lead with previous experience managing a team and driving change
  • Bachelor’s degree, preferably in Business or related fields
  • CPA or other financial designation is an asset
  • Previous experience working with Oracle or other ERP systems is an asset
  • Intermediate skills in Microsoft Excel required with experience in VBA and SQL considered a strong asset
  • Ability to partner with stakeholders at multiple levels including Executives, Operations, Acquisitions and IT
  • Ability to communicate financial information and key messages in a succinct working level language
  • Detail oriented with excellent organizational skills and ability to effectively manage work under tight timelines and changing priorities
  • Aptitude to leverage technology to gain efficiencies and improve processes
  • Team first mentality and strong attention to detail to deliver reporting at a high standard
  • Experience in real estate or asset management is preferred but not required
