Job Title: Front Desk Agent

About the hotel: Yes. We opened a hotel during COVID. Been having fun. You should join us and be part of a brand-new boutique hotel in Whitehorse. Become a member of our motivated and dedicated team to ready this hotel up to welcome tourists again.

Our property includes 57 brand-new rooms & apartments with an on-site restaurant & lounge. We strive to offer four-star service to meet and exceed the expectations of our well-travelled guests. In these times, we are open thanks to the local community and so we work hard to provide excellency in customer service for our loyal guests.

Job Description: The front desk is the face of the business and is the first impression that every guest guest when they enter the hotel. It is imperative that front desk staff are friendly, greet people on entering the building and strive to make a customer’s visit to Raven Inn most enjoyable.

We are willing to train the right candidate but you must already possess impeccable manners, a strong work ethic and a good understanding of guest expectations. Do you want to be part of something new and growing? This may be the job for you.

This is a part-time offer, 18-30 hours/week, mainly late shifts till midnight.

Job Tasks

  • Greet guests in a friendly & courteous manner
  • Register arriving guests and assign rooms, using the in-house reservation system efficiently
  • Follow check-in procedure (giving information about hotel & restaurant)
  • Professionally answer inquiries regarding hotel services and registration by email, by telephone, and in person
  • Write offers to leisure and corporate guests
  • Answer in-house phone call from guests and arrange for amenities or service
  • Process and deliver room service orders if needed
  • Provide information about services available in the community
  • Respond to guests’ complaints using in-house service recovery guidelines
  • Compile and check daily record sheets, guest accounts, receipts and vouchers using computerized or manual systems
  • Work cooperatively with back of house staff to respond to guest needs
  • Present statements of charges to departing guests and receive payment by methods of credit card, cash, PO or debit
  • Perform daily opening and nightly closing procedure
  • Operate in-house reservation system, POS and other platforms as needed
  • Handover shift notes & other information to next shift

Responsibilities:

  • Operate front desk with minimal supervision
  • General office duties including filing and billing
  • Greet customers at the entrance – make them aware of hotel & restaurant
  • Answer phones and reply to email inquiries
  • Work cooperatively with back of house staff to respond to guest needs
  • Ensure his/her areas of responsibility are well stocked and guest ready
  • Nightly close and record keeping of statistics to report to management and accounting
  • Operate reservation and payment system
  • During slow season, assist in other departments as needed

Requirements:

  • Grade 12 or higher. Preference will be given to candidates with higher education
  • Certificate of hospitality management an asset
  • Good computer skills in word, excel, outlook
  • Knowledge of Property Management system an asset
  • Knowledge of safe work procedures and guest conflict resolution
  • Ability to work late/night shifts & weekends
  • Excellent customer service skills
  • Basic knowledge of customer service procedures such as journey mapping
  • Ability to work in a team and efficiently communicate between departments
  • Excellent writing skills in English
  • Excellent grooming standards
  • Other spoken languages are an asset
  • Min. 1 year Experience in hotel industry OR other administrative, client facing environment

Physical Demands

  • Must be able to stand and exert well-paced mobility for up to 6 hours in length
  • Ability to lift and carry up to 50 pounds on a regular basis, throughout the shift
  • Must be able to kneel, bend, stoop, squat and stretch to fulfill tasks
