The Fleet Coordinator / Dispatch - Heavy Haulat Spectrum Equipment is responsible for the overall productivity and compliance of our ever growing fleet. The role requires coordinating administrative functions, ensuring adherence to all policies and procedures, and maintaining effective communication with our internal and external customers.

Responsibilities include but are not limited to:

  • Scheduling/dispatching of internal and external moves for equipment with our heavy haul division and in alignment with our sales/rental commitments and customer requests
  • Review and invoicing of BOL’s
  • Review and approval of timecard submission for heavy haul division
  • Ensuring we’re in compliance with Hours of Service and reporting to our third-party management company
  • Monitoring fuel consumption and monthly reporting on IFTA to the third-party management company
  • Fleet management – maintenance, scheduling, and service tracking of all on highway/off highway fleet
  • Ensuring our drivers are in compliance with the Spectrum Transportation safety manual and updating the program as required by regulations
  • Record keeping in alignment with Federal Regulations
  • Management of fuel cards / wash cards and reviewing statements monthly to ensure all charges are in alignment with company policies and procedures
  • Pulling road permits for heavy haul drivers when support is required
  • Tracking plates for vehicles and on-highway rental fleet
  • Ensuring all vehicles are equipped with proper registration and insurance
  • Sourcing third party work for heavy haul division when internal demands are minimal

Qualifications:

  • Detail orientated and strong organizational skills with a drive to achieve results.
  • 3-5 years in an administrative role
  • Experience with fleet management and Federal Regulations for on highway transport is a strong asset
