POSITION OVERVIEW

Accountable for the effective, efficient, and confidential support to multiple Vice-Presidents. Accountabilities include teamwork between Executive Administrators, completion of special projects as assigned by the Executive, and organizing, coordinating and or delegating the administrative work in a timely, consistent, and professional manner. Interfaces with all levels of management, external agencies, customers and government officials. Ensures the delivery of a positive corporate executive office image to Government, Crown Investments Corporation (CIC), Board of Directors, Executive as well as customers and employees.

LEADERSHIP ACCOUNTABILITIES

People

1. Leads, directs and manages staff to ensure the effective use of HR resources. Maximizes performance by selecting (hire external or promote from within), developing, mentoring and sustaining a high level of expertise among staff. Organize and direct work including prioritizing assignments, establishing objectives, providing regular performance feedback, conducting year end performance appraisals and taking necessary corrective action as may be required. Assists in staff career planning, establishes development and succession plans and ensures relevant HR procedures and policies are followed (provisions of the collective agreement, performance appraisals, discipline, grievance, etc). Accountable for provisioning and managing contracted resources as may be required.
2. Accountable for promoting a productive and positive environment for staff that encourages innovation, teamwork, initiative and models corporate values. Motivates staff by assigning challenging work, planning and managing internal communications and awareness of corporate direction, mission, plans and activities.
3. Ensures all safety, health, environmental and code of conduct policies, programs and standards are understood and complied with at all times.
4. Proactively identify and action opportunities to increase customer satisfaction (internal and external customers).
Financial
1. Ensure sound financial control within area of responsibility by developing annual operating and capital budgets, monitoring performance to budget and taking action as appropriate. Develops, negotiates and implements contracts for acquisition of goods & services related to area of responsibility.
Innovation
1. Accountable to research, develop, define and implement innovative long and short term plans, policies and objectives. Provides expertise to senior management providing education, studies and consulting on opportunities that will impact business strategy. Ensures alignment and integration with the corporate strategic plan and develops plan and operational metrics, including approaches for demonstrating business value.
2. Accountable to proactively identify and action opportunities to improve revenue and growth initiatives, decrease costs, increase customer service levels and increase employee engagement.
3. Accountable to develop opportunities to spark innovation in technology or product service delivery or process improvements.

SPECIFIC ACCOUNTABILITIES

1. Expedites the work of the Vice-Presidents by assisting in setting priorities, determining and maintaining time schedules, arranging meetings and setting appointments with discretion. Act on behalf of the Vice-Presidents executing as much of the Vice-President work as possible, and as necessary, delegating matters to other management within the division.
2. With appropriate confidentiality research, analyze, draft, and compose correspondence, briefing materials and reports based on the general direction of the Vice-Presidents. Ensure that all forms of communication are handled in a timely and accurate manner by replying directly to or directing all information flow to the appropriate management personnel.
3. Interface with and facilitate communication on planning and various business issues as required between Crown Investments Corporation, the Board of Directors, all levels of management within SaskTel, external agencies, government and the SaskTel Executive office. Ensure responses are handled on a timely basis Ensures resolution of inquiries through consultation with appropriate Executive, departments, or staff.
4. Facilitate the ongoing management of the division(s) by tracking and reporting on current and on-going business issues, metrics, planning processes, and by completing special projects as required. Participates as a key member of the management team for the Vice-President and/or Senior Vice President’s division(s).
5. Coordinates the planning for and logistics for various meetings. Coordinates, reviews, drafts, compiles and distributes data and other briefing materials, within a strict timeframe, for executive, Board of Directors and other meetings.
6. Conducts research, compiles data, and prepares papers for consideration and presentation by the Executive, committees and boards of directors.
7. Liaise with management and with other organizations on behalf of the Vice-Presidents and ensures an objective and confidential approach to the preparation, filing, release or reference of departmental information including personnel and business issues.
8. Arrange travel plans, both national and international, for the VP and/or Senior VP. Research and compile a total itinerary package to ensure the VP and/or Senior VP is totally prepared for all events and that SaskTel portrays a positive and professional image.
9. Serves the office and SaskTel in a professional manner by maintaining harmonious work relationships with all staff and the public, handling incoming calls / inquiries, directing to the appropriate party or dealing with callers tactfully and as efficiently as possible as well as following up to ensure requests are handled in a timely manner.
10. Coordinates, analyzes, compiles information for creation and communication of quarterly reports, the SaskTel Holdco Plan and/or the division(s) business plans and inputs the material into a professional document.
11. Attains a sufficient knowledge of SaskTel operations, division and corporate projects, plans and developments to ensure an efficient office.

QUALIFICATIONS

1. Post secondary education in Business/Office Administration with extensive experience in an administrative role or an equivalent combination of education and experience.
2. Thorough knowledge of and considerable experience in administration practices, procedures and techniques is required.
3. Strong verbal and other communication skills
4. Demonstrated ability to pro-actively resolve issues, make good independent decisions and implement decisions without direction or guidance.
5. Extensive knowledge of SaskTel corporate structure and departmental functionality is essential.
6. Strong organizational, negotiating, facilitating, problem solving skills are required.
7. Demonstrated project management skills.
8. Ability to handle a variety of tasks concurrently, prioritizes and meet deadlines.
9. Proficient at events planning and crisis management.
10.Strong interpersonal skills, positive attitude, and the ability to portray / deliver a positive image for SaskTel.
11.Ability to work in a high stress environment.
12.Strong PC skills especially in PowerPoint, Word, Excel and the Internet.
13. Efficient typist (60 wpm)
