The CMS provides a great working environment with good work/life balance. The hours are 35 hours per week and are flexible. Health and dental benefits as well as a generous pension plan are provided. We are a small close knit team working to promote mathematics in Canada.

The Communications Officer is responsible for the Canadian Mathematical Society’s communications and grant applications. The incumbent must be fluently bilingual and be able to speak diplomatically and courteously to members, subscribers, agencies, and others, and to resolve conflicts. The Communications Officer is required to maintain schedules of deliverables including publication dates and grant application deadlines and is responsible for the effective and timely communication with CMS stakeholders and the public. The work necessitates an extensive use of several software packages including Adobe Creative Suite and Canva along with various other design, social media applications and word processing and CRM software.

The position requires significant communication experience, sound judgement, initiative, and independence.

QUALIFICATIONS

Must Have

  • excellent and proven communication skills (both oral and written) in English and French;
  • solid experience in translating French and English documents;
  • solid writing, proof-reading and editing skills;
  • demonstrated track record in communications.

Definite Asset

  • experience in grant writing and fundraising;
  • desktop publishing software such as the Adobe Creative Suite and Canva;
  • social media applications, including Facebook, and Twitter;
  • website editing applications, including HTML and WordPress;
  • office system applications including Word, spreadsheets, graphics and databases;
  • ability to work as part of a team and independently with minimal supervision;
  • post-secondary degree or diploma in a relevant field of study;
  • at least two years of relevant work experience;
  • work experience in academia;
  • ability to work with diligence and accuracy within established priorities and schedules.

MAJOR DUTIES AND RESPONSIBILITIES

The Communications Officer is responsible for the administration of the Society’s communications and grants programs. This includes the development and distribution of marketing materials, news releases, funding proposals and representing the society at meetings and conferences.

Communications

  • Develop and administer the CMS communications strategy and social media program;
  • Translate formal communications from English to French and French to English;
  • Prepare CMS corporate communications including annual reports, supported program reports, new and updated web pages, meeting material, membership and renewal campaigns, and promotional materials;
  • Graphic design and layout of the CMS Notes, a publication issued 6 times per year;
  • Prepare media releases and pro-actively obtain media input for the CMS programs and projects, and respond to media inquiries;
  • Maintain and post frequently to social media;
  • Edit formal communications and letters in English and French.

CMS Grants

  • Prospect for potential donors and sponsors;
  • Secure new sources of financial support from individuals and local community partners, foundations, and corporations;
  • Develop and submit proposals and design and implement special fundraising events;
  • Formalize a campaign strategy, assist in identifying and recruiting campaign leaders including Executive and Board members, Chairs, competitions alumni, et al for the campaign;
  • Establish and maintain liaison with volunteers involved in projects that affect fundraising;
  • Assist in the development and distribution of campaign materials and develop communication and promotional programs in support of fundraising efforts;
  • Generate queries, reports, exports and other collection data as needed; Prepare calls for proposals for Endowment Grants, Math Competition Grants and Math Camp Grants, send email reminders, update web pages and advertise in CMS Notes;
  • Review proposals and compile applications for final review by appropriate committee;
  • Compile reports for budget preparations and update web pages.

Nominations, Boards and Committees:

  • Liaise with the Nominations Committee and other Standing Committee Chairs about the various appointments, Terms of Reference and upcoming vacancies;
  • Maintain web-based nominations database and verification;
  • Correspond with nominees for biographical information and approval of terms;
  • Prepare and maintain procedures manuals for each committee position;
  • Produce calls for nominations required for upcoming vacancies, and distribute by email, list on CMS website and advertise in CMS Notes;
  • Update Terms of Reference as required;
  • Liaise with the Nominations Committee for the preparations for the CMS elections, prepare email reminders, collect biographical information on each candidate, prepare nomination materials for election, post on web, email membership and advertise in CMS Notes the election results;
  • Administer nomination approvals from Executive and Board of Directors and enter appointments in CRM database and update web pages.

Prizes and Awards

  • Produce calls for nominations required for prizes and awards, and distribute by email, send reminder emails, update on CMS website and advertise in CMS Notes and relevant Meeting program;
  • Liaise closely with the Chair of the appropriate committees relating to all appropriate prizes and awards of the CMS;
  • Review nominations for eligibility for each prize and award;
  • Compile nomination packages and upload on private web site for deliberations by the committee;
  • Coordinate with Committee Chair and award recipient to receive citation, bio information and media release;
  • Liaise with each Chair to receive their yearly report for the CMS Annual report;
  • Prepare and send letters to non-winners;
  • Prepare congratulation/invitation letter to prize and award recipients.

General

  • Attend and participate in regular staff meetings and other meetings as required;
  • Develop and maintain the procedures manual related to this position;
  • Execute any special projects, and perform such other duties as may from time to time be assigned by the Executive Director;
  • Be responsible for his/her professional development.
