Reporting to the Vice President of Operations, the Flight Operations Administration Coordinator will have a number of important responsibilities within the Flight Operations department including document control and management of the technical library and providing a high level of administrative support to the Flight Operations team including the Vice President of Business Transformation and Operations and the Chief Pilot.


The Flight Operations Administrator Coordinator will be based out of Toronto, ON (YYZ), and work in a fast-paced, ever-changing environment.


Primary Job Functions:

The duties of the Flight Operations Administration Coordinator include:

  • Support Flight Operations Management on all Flight Operations related issues, including daily departmental functions, distribution of pilot memos, updating systems, research and coordination of departmental manual amendments, minutes of meetings, participate in Company audits, etc.;
  • Support Flight Crew and Flight Attendant training records. This includes data entry, electronic scanning, filing, submission of check rides to Transport Canada, and payment of applicable fees;
  • Coordinate TSA clearances for flight training conducted in the United States, both for initial and recurrent phases;
  • Liaise with Human Resources to provide support for Flight Crew Member recruitment and onboarding.;
  • Provide guidance to new hire employees with regard to company E-mail addresses, document requirements, RAIC clearances, memo procedures/Document Manager, TSA clearances, etc.;
  • Manage all aspects of crew uniforms including the database, correspondence with vendors, and delivery of uniforms to crew members;
  • Review crew expenses for validity and adherence to Company requirements;
  • Review pilot gratuity report for accuracy;
  • Manage all aspects of the documents, manuals etc. that are required on the aircraft. Ensure they are up to date and replaced with current documentation. Responsible for the tracking, replacement of the QRH on the cycle, insurance, dangerous good documentation, flight deck cards and all other documentation;
  • Responsible for tracking that crews have updated iPads, acknowledged all Memo’s, STB’s and other required items;
  • Manage crew RAIC process including providing the crew with information and process, tracking and ensuring information is passed to Crew Planning for entry into crew systems;
  • Work with Crew Planning, Pilot & FA Training to ensure crew planning is accurate, hotels are booked and schedule is accurate;
  • Support SOCC Manager in determining crew hotels as well as being the focal point for crew hotel issues:
  • Manage non-crew Flight Operations training requirements within Centrik;
  • Provide development and revision of various support documentation within Flight Operations;
  • Support and provide back-up for the Documents Coordinator in the production and revision of Flight Operations documentation and submission to Transport Canada;
  • Act as the initial point of contact for general pilot inquiries;
  • Development, maintenance and distribution of the new hire pilot package on initial ground school, and provide on-site support for training classes;
  • Support Flight Operations relationships with vendors assess invoicing for accuracy and tracking of payments with Finance;
  • Liaise with Payroll and crew members with regards to payroll problems and issues as required;
  • Ensure that the hardware conforms to the required specifications and that only Company authorized software is installed;
  • Manage the distribution and setup of EFB and tablets for each new -hire class, manage device replacements, and address system performance and application issues as required;
  • Monitor compliance of all EFB and tablets users in Flight Operations;
  • Assist in the development and implementation of a wide variety of special projects;
  • Provide back-up for other Flight Operations staff as necessary;


Qualifications and Education Requirements:

  • Post Secondary Education - at least two (2) years is preferred;
  • At least two (2) years of previous related experience in an airline environment, or in a complex administrative support role is strongly preferred;
  • Working knowledge of Canadian Aviation Regulations as it applies to Airline Operations;
  • Demonstrated proficiency at an intermediate level in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Good knowledge of Microsoft Office 365 applications, Apple iPad and iOS systems;
  • Demonstrated ability to take initiative on complex tasks.
  • Proven project management skills and abilities; Ability to read and interpret various acts, regulations, and legal documents are considered an asset.
  • Proficiency in technical and business writing is considered an asset;
  • Knowledge of EFB requirements and regulations is considered an asset;
  • Knowledge of Crew Scheduling Systems, Jeppesen FDPro is considered an asset;
  • Ability to obtain and retain an Airport Restricted Area Identity Card in accordance with the Airport Restricted Area Access Clearance Program regulated by Transport Canada.
