Executive Assistant

We are ready to take this game to the next level and need a passionate Executive Assistantto provide administrative support to the Chief Lottery Officer and act as a liaison between the SVP/CFO and internal and external contacts to ensure effective and efficient communication and support advancement of their priorities.

YOUR ROLE IN THE GAME

Reporting to the Chief Lottery Officer, you will be empowered to:

  • Plan and coordinate day to day executive schedules including responding to and resolving scheduling conflicts by working effectively with other assistants and internal stakeholders

  • Ensure all necessary information for meetings is available, i.e., organize and prepare relevant documentation, coordinate agenda items, etc. by compiling and following up with meeting contacts

  • Effectively handle queries, calls and emails with clear prioritization in terms of importance and urgency and flag the same to the executive as needed

  • Support the executive and the team as necessary on administrative requests and issues as required

  • Prepare spreadsheets, correspondence and presentation materials for internal or external use

  • Make necessary executive travel arrangements and prepare, track and process travel expenses in accordance with expense directives

  • Prepare, monitor and submit monthly expense reports through collating receipts, entering expense reports and reviewing bills accurately in a timely manner

  • Arrange and monitor departmental invoices in a timely manner, communicates with accounting department as needed

  • Establish and maintain executive and team filing and archives in line with the records management framework

  • Responsible for liaising with IT, security, facilities and other relevant stakeholders to ensure appropriate operational set up for new or existing employees reporting to the Chief Lottery Officer.

WHAT YOU NEED TO PLAY

Work experience:minimum 3 years of progressively responsible, relevant experience supporting senior management.

Education:university or College Diploma in Office Administration or equivalent

Skills:Proficient with MS Office, communication, planning and organization, attention to detail, relationship building, initiative, time management and multitasking, good judgment, tact and diplomacy
