This position represents a one year full-time contract position.

Scope

Reporting to the Manager, Planning and Academic Facilities, the incumbent assists with the coordination and implementation of technical requirements in the Office of the Associate Dean, Planning and Academic Facilities, Arts and Science, which includes maintaining inventories related to IITS refresh programs, furniture and major assets. They will be involved with logistical support in teaching and research related activities (start-ups, CFI and building projects); acts as a resource involving facilities and infrastructure, moves, signage, repairs and IT needs.

Primary responsibilities

  • Ensure proper administration of university policies and procedures with respect to renovations, moves and equipment installations; includes adherence to Policy VPS-32 on decommissioning/redeployment of computer equipment and University Signage, and Health and Safety Policies and Guidelines
  • Coordinate requests from all academic units and researchers; includes scheduling, communicating and procuring services and monitoring external contractors and supplier performance
  • Assist new research faculty in setting up research facilities and office spaces; includes: problem solving; liaising with internal departments and external vendors as well as obtaining quotes, researching products to meet end user needs and preparing Webreqs.
  • Assist with projects (includes major department relocations, equipment installations, grant infrastructure and building projects).
  • Coordinate and serve as a resource for teaching and research faculty and staff; provide training and guidance with respect to AV presentation equipment operations (e.g. Kramer), the acquisition of equipment, as well as with respect to facility modifications and upgrades.
  • Maintain up-to-date assets management records to facilitate preparation of business cases for securing capital funds; includes major equipment, IT and furniture related assets.
  • Visit academic units to discuss and assist with needs; includes overseeing renovations and/or equipment/furniture/IITS evergreening installations to ensure that they are being carried out in a timely manner and meet expectations.
  • Liaise with IITS with respect to data port and telephone port activation and/or inactivation, and with respect to the deployment and redeployment of computers within the Faculty.
  • Assist with emergencies (e.g. floods) and follows up with respect to required repairs.
  • Perform other duties in support of units and researchers.

Requirements

  • Collegial Studies (three-year technical DEC) in a related field dealing with facilities management with at least two to four years working experience together with a strong understanding and working knowledge of building construction, equipment installations, basic scientific practices/procedures/equipment, health and safety as well as IT set-ups and applications.
  • A strong understanding of academic life and practices is desirable.
  • Knowledge of University policies and academic policies and procedures (preferably in the Faculty of Arts and Science).
  • Highly service-oriented with prior experience working in a university or in a service environment.
  • Good knowledge (Level 4) of spoken and written English language skills in order to communicate effectively with faculty, staff and students; good knowledge (Level 4) of spoken French to respond to general inquiries and to liaise with external vendors/contractors/facilities personnel.
  • Good knowledge (Intermediate Level) of Microsoft Excel, Word and PowerPoint to produce reports.
  • Very good communications, organizational and interpersonal skills; proven ability to respond to questions and requests; ability to handle emergencies and potentially difficult situations.
  • Capacity and proven ability to work in a fast paced stressful and changing environment; ability to multi-task and work under pressure with minimal supervision.
  • Demonstrated pro-active attitude, good analytical and problem solving skills and an ability to take initiative.
  • Keen attention to details.
  • Aptitude to work in a service-oriented environment both as member of a team and independently.
  • Ability to work flexible and irregular hours, and overtime as required.

Salary

$45 224 – $67 740 per annum
