Job description:

The Project and Capital Management Coordinator supports the Director, Project Portfolio Management, in his tasks and objectives. On the one hand, the coordinator is charge of the financial reporting tools of all the projects of the division. In coordination with the Director, the Project Managers, Finance and Procurement, he/she consolidates and ensures the accuracy of the financial data and prepares monthly and annual reports. In addition, the Coordinator works closely with the Project Managers on the development and monitoring of the timelines and budgets of the projects assigned to him/her.

Main responsibilities:

  • Manage the division’s capital budget (CAPEX) for all construction projects (airports, transit, campus and lifestyle)
    • Maintain CAPEX management excel file on a weekly basis (CFA file)
    • Work with project managers to regularly track actual and forecasted expenses
    • Receive, analyze and verify invoices from various vendors
    • Prepare purchase orders and code invoices in SAP
    • Prepare monthly report with finance department at the end of each month, ensure consistency of amounts between CFA file and finance report
  • Prepare and adjust annual capital budget (CAPEX) forecast
    • Adjust the Excel file (CFA tool) to best represent the division’s capital forecast
    • Work with project managers, directors and concession managers to understand project planning and costs
    • Adjust forecasts to division strategic needs and/or Bell requests
  • Prepare a monthly capital budget review for the division’s General Manager
  • Adapt tools as needed, as process or organizational changes occur, and provide ideas for improvement
  • Maintain schedule for all division projects
    • Work with project managers to adjust "Go Live" dates for pro-projects
    • Work closely with Concessions Directors/Managers and Astral Sales to ensure consistency between project "Go Live" dates and product launches
  • Maintain project summary sheets and prepare the Gate Review document on a monthly basis
  • Participate in all project meetings necessary to ensure smooth progress of tasks
  • Prepare capital expenditure reports for our concessions on an annual basis, and be the point of contact for these concessions on capital related issues for the division
  • Compile information and perform analysis. Define performance indicators (KPI), monitor these indicators, and react accordingly


Knowledge / skills required:

  • University degree
  • Minimum of 2 years of relevant experience in project coordination or management, and/or accounting or finance
  • Ability to manipulate and analyze accounting and financial data
  • Sense of organization, initiative and proactivity
  • Sense of commitment and urgency
  • Ability to communicate effectively
  • Ability to adapt to unforeseen circumstances
  • Bilingualism is mandatory
  • Excellent knowledge and proficiency of Microsoft Office (Excel and PowerPoint advanced level)


Bilingualism is required (English and French); adequate knowledge of French is required for positions in Quebec.
