Payroll Clerk and HR Administration

This position works closely with our Leadership, Administration and Finance team and we look forward to this addition to our team. We will provide full-training as needed, applicants will need either; administrative experience, payroll or secondary education.

Deliverables and Accountabilities

This position will play a pivotal role from onboarding new employees, arranging new hire documentation, tracking the review process and other key timelines and administrative support in a junior HR or Administrative capacity. On the financial side, this position will provide support through completing the following tasks; financial tracking, cash flow, profitability, and financial reputation among our vendors, subcontractors, and employees rely on the proper execution of the responsibilities of this role.

The areas of accountability are as follows (and not limited to):

Deliverables

  • Process & Issue Payroll Cheques Bi-weekly.
  • Submit Payroll related remittances in a timely manner.
  • Process employee tax forms in a timely manner.
  • Human Resources Administration.

Accountabilities

Deliverable 1 - Process & Issue Payroll Cheques Bi-weekly:

1. Ensure payroll is submitted biweekly (by every second Wednesday). This requires the collection of payroll data from all MAC Renovations & MAC Island Construction employees, verification of timesheet accuracy, verification of expense request accuracy, payroll remittance calculation, payroll data entry into Sage 100 Contractor, and processing of payroll through Telpay.

2. Ensure commission is calculated accurately & in accordance with the MAC processes.

3. File timesheets, employee documents, etc as per MAC filing requirements.

Deliverable 2 - Submit Payroll related remittances in a timely manner:

1. Calculate & enter payroll deductions twice a month in Sage 100 Contractor.

2. Calculate & enter WorkSafe remittances in a timely manner.

3. Calculate & enter Employer Health Tax remittances in a timely manner.

Deliverable 3 - File Employee Documents in a timely manner.

1. File timesheets, employee documents, etc as per MAC’s filing requirements.

2. Process employee tax forms in a timely manner.

3. Set employee’s up with RRSP matching and benefits and process contributions.

Deliverable 4 – Employee Relations and Administration:

1.Prepare new hires employment file and all supporting paperwork.

2. Head up and perform our onboarding process.

3. Track performance reviews, employee/management meetings, and other employee related timelines.

4. Play a part in employee recognition projects.

In addition to these accountabilities, you will support the team with special projects and tasks within the scope of your role.

Hours of Work: Monday to Friday daytime hours.

Qualifications (include and may not be limited to):

  • 2 years experience in an office environment where you service clients and your peers
  • Experience with Sage 100 is an asset
  • Proven ability to manage multiple priorities
  • Strong verbal and written communication
  • Current computer skills with attention to detail
  • A natural mathematical aptitude
  • Can work in a team environment and independently
  • Strong organization along with time management skills
  • Proven ability to build and maintain customer relations
  • Proven ability to be in a trustworthy role, where you are privy to privileged and confidential information
