This position directly supports the Health & Safety Manager, the Health and Safety Coordinator and assists others within the organization by handling health and safety related office tasks, providing polite and professional assistance, and generally being a helpful and positive presence in the workplace.

Must be comfortable with computers, general office tasks, and excel at both verbal and written communication.

Major Areas of Responsibilities:

- Handling office tasks, such as filing, generating reports & safety specific documents, photocopying, setting up for and taking detailed meeting notes, and reordering supplies.

- Assist with the management, development and maintenance of the Safety SharePoint Site(s).

- Liaise with other departments as required

- Generate daily safety bulletins for review by the workers.

- Daily review, scan, and upload Field Level Hazard Assessments, Hazard Reports and other safety related documents into the SharePoint site.

- Use computers to generate reports, transcribe minutes from meetings, create presentations, newsletters, bulletins, input and track data, etc.

- Greet and assist others within the organization, maintain polite and professional communication via phone, e-mail, and mail.

- Anticipate the needs of others in order to ensure their seamless and positive experience.

- Ensure all SDS resources (electronic and hard copy) and communication boards are maintained and current.

- Assist with inspections, audit support, and perform other tasks and duties as required.

- Interact with co-workers; build and maintain positive relationships.

- Seek out opportunities for professional development within the scope of the position.

- Assist the Safety Manager in the on-going development and implementation of the Safety Training System.

- Maintain career standards relevant to the Company and position.

- Provide safety leadership, coaching and mentoring to co-workers, when required.

- Professionally interact with clients in a proactive and when necessary, a reactive approach related to safety.

- Conduct/participate in safety meetings, toolbox meetings, Joint Health & Safety Committee meetings, when required.

- Assist the Safety Manager to perform/facilitate incident/accident investigation, analysis, recommendations, reports and feedback.

- Assist Safety Manager with conducting periodic and annual reviews/revisions of the Company safety manual and Safe Work Practices (Training).

- Promote the principles of safe work and encourage participation in Company safety initiatives.

- Perform other duties as required.

Required Skills and Abilities:

- Prior administrative experience.

- Excellent computer skills, especially typing.

- Proven ability to work independently and as part of a team.

- Ability to maintain a high level of confidentiality and professionalism.

- Knowledge of MS Word, MS Excel, PowerPoint and SharePoint.

- Ability to multi-task and handle changing priorities; capable of understanding and following written procedures.

- Attention to detail with good proofing and editing skills.

- Desire to be proactive and create a positive experience for others.

- Manage time effectively.

Education/Certification and Experience:

- 2 to 4 years of experience as Health & Safety Administrator

- Construction Safety Training System (CSTS-09 or CSTS-2020)

- Standard First Aid / CPR / AED

- WHMIS 2015
