Position Summary

The Facility Technical Services Analyst will provide administrative support to the Facility Technical Services Section, as well as be responsible for the daily reconciliation of the Section’s Computerized Maintenance Management System (C.M.M.S.) work orders, invoicing and requisition administration.

Key Duties and Responsibilities

Invoice Processing (accounts payable):

  • Review invoices for accuracy and distribute to supervisory staff for approval
  • Process approved invoices in the Enterprise Resource Planning System (SAP) and MAXIMO CMMS
  • Reconcile outstanding invoices, which may include corresponding with vendors
  • Ensure consistent data integrity in MAXIMO and SAP

Work Order Management:

  • Track / Flag Urgent and Priority Maintenance Work Orders Requests
  • Track and convert Maintenance Requests to Demand Work Orders

Maintenance CMMS Database:

  • Control and input the masterdata into MAXIMO CMM

Contract Management:

  • Maintain an electronic database of Facility Technical Services Contracts

Training:

  • Maintain electronic training records of certifications and qualifications for the Division
  • Monitor Training expiry dates, and set up training as required
  • Maintain staff lesson plans

Performance / Data Management:

  • Support data collection and generation of monthly metric reports
  • Generate Work Order Backlog Reports

Education and Experience

  • 3 year Diploma in Engineering or equivalent
  • 3 years related experience

Required Skills/Knowledge

  • Proficiency with Microsoft Office Suite (Excel, Word, etc.)
  • Experience with file management and database applications (MAXIMO, SAP)
  • Exceptional customer service skills
  • Ability to work under pressure and meet deadlines
