ABOUT THE OPPORTUNITY

Reporting to Chief of Staff, Council Advisory & Support, the Chief of Staff Executive Assistant acts as the right hand to the Chief of Staff and will manage all incoming and outgoing information from their office. This position is constantly one-step ahead, anticipating needs and keeping the Chief of Staff informed. The Executive Assistant will act as a liaison between the Chief of Staff and other Directors and community members, bringing information forward diplomatically and adapting to various personality and communication styles with ease. This position will bring value to the Nation by prioritizing incoming and outgoing messages, scheduling and attending meetings, researching and advising on policies and practices, and acting as communications liaison. This is someone who will be interacting with community members and is therefore passionate about contributing to the greater good of our communities. The incumbent will also evaluate, preserve, and arrange records, documents, and making information within the archives more accessible to the Chief of Staff.

Typical Duties & Responsibilities:

  • Manages all incoming and outgoing information to the Co-Chairs.
  • Performs secretarial duties for the Chairperson.
  • Designs and maintains the departmental systems to keep track of all archive materials and documents and responsible for preserving materials correctly.
  • Provides guidance in identifying and soliciting funds, including grant proposal writing, as appropriate.
  • Arranges and maintains modern archival collections in a safe manner.
  • Acts as an Advisor when it comes to policies and Squamish Nation guidelines.
  • Manages internal and external stakeholder relationships.
  • Establishes and updates reporting procedures.
  • Adheres to workplace health and safety policies, safe work practices and procedures.
  • Flexible in availability.
  • Performs additional duties as required.

Education, Level of Experience & Hiring Requirements:

  • Bachelor’s Degree in Business Administration, Paralegal, Legal Administrative, First Nation Studies or relevant/related field from a recognized post-secondary institution. OR
  • Diploma in a relevant discipline from a recognized post-secondary institution with equivalent experience can be considered. (I.e. Diploma plus 6-7 years related experience, or no degree with approx. 9 years of related experience)
  • 4 - 5 years of progressive experience required conducting responsibilities listed above, including: managing internal and external communications, drafting policies, developing information reports, senior level project administration, etc
  • As career progresses, incumbent will be required to successfully complete job-required, short-term upgrading, training and courses relating to executive support, project management, senior administration, etc., as well as broadening their Squamish Nation culture/language knowledge. Experience as an intermediate or advanced level user of email, MS Office Suite.
  • Experience delivering customer service in one of the following areas of Nation Services is preferred.
  • Prior working experience dealing with the unique cultural and traditional elements of First Nations meetings is an asset.
  • Knowledge of the Squamish Nation, Beginner Squamish language (Skwxwú7mesh Snichim) proficiency, First Nation governance and aboriginal law issues in Canada is considered and strongly preferred.
  • Experience as an advanced level user of MS Office, CRM Software, and Project Management systems.
  • Must successfully complete Criminal Record Check as per Squamish Nation Policy.

Starting Salary: $67,000 annually, plus a comprehensive benefit program
