Under the direction of the solicitors, the Conveyance Legal Administrative Assistant is responsible for carrying out the administrative tasks required in the processing of clients’ conveyances. This individual must be able to provide quick, efficient and accurate work under demanding timelines and do so effectively. In doing so, conveyancers review the following: the property’s title to ensure that there are no financial impediments that need to be discharged, the relevant tax history to verify that there is no property tax in arrears, and. whether there are any outstanding strata fees associated with the property. Conveyancers are responsible for a variety of legal administrative tasks related to real estate transactions including performing title searches; preparing and submitting required documents and title deeds to the Land Title registry; and registering, transferring, or discharging mortgages. The successful candidate will have completed the Legal Administrative Assistant Certificate program (or have equivalent experience) and 1-2 years of conveyancing experience preferably using econveyance software.


Roles and Responsibilities:

1) Communicating with solicitors and other Firm staff, clients, agents, registrars, etc.
  • using telephone and e-mail
  • collecting and providing information
  • receiving directions from solicitors
  • regularly reviewing files with solicitors
2) Conducting legal research
  • conducting conflict-checks in ESILAW
  • requesting records and ordering documents
  • using on-line services such as BC Online, myLTSA, etc.
3) Preparing and submitting correspondence, forms and legal documents
  • creating documents from Firm precedents and/or using on-lines services such as eConvey
  • making copies and submitting to clients, agents and/or registrars
4) Posting and billing
  • posting time and disbursements using TimeTracker, Copitrak, ESILAW, etc.
  • preparing bills using ESILAW and Firm precedents
  • following-up with clients for payment
  • preparing and submitting trust transfers, adjustments to ledgers, etc.
5) Tracking deadlines
  • implementing a BF (Bring Forward) system
  • advising solicitors of pending deadlines
  • ensuring that submissions are made by deadlines
6) Scheduling appointments
  • contacting clients
  • updating solicitors’ calendars and BF system
7) Organizing files
  • copying
  • filing

Assets:

Experience with ESILAW, myTTSA, eConvey; comfortable communicationg with the other Firm staff; capable of organizing files and binders;can prepare correspondence, forms and legal documents.
