Background

The Role

The Conservatory Assistant administers the daily operations of the Conservatory, Fine Arts Department and reports directly to the Chairperson of the Fine Arts Department who is responsible for the overall administration of the Fine Arts Conservatory. Some primary responsibilities include:

  • Respond to inquiries, process registration forms, calculate fees, make changes to registrations, forward paperwork to Financial Services.
  • Arrange/process payment plans for student tuition fees, process payments received (cash, cheque, debit, credit), issue receipts, balance float and prepare deposits for the Cashier.
  • Reconcile deposits. Reconcile to actual charges in accounts and process debits and credits.
  • Set up interviews with potential instructors and serve on the Selection Committee with a Fine Arts faculty member (in a related instrument).
  • Facilitate initial contact between student and instructor, prepare Record of Lesson forms, advise instructor of any student concern and or inquiry and assist with problem resolution as necessary.
  • Process and reconcile the monthly timesheets/invoices for the Conservatory instructors as part of the duties and assigning studio space for instructors.

Job Requirements

Job Requirements

The successful candidate will have 1 year of Post-Secondary Education in either Business Administration or Arts/Cultural Management, and at least 6 months of related experience. Necessary skills and attributes to be successful in this role include:

  • proficiency in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook; knowledge of Matador and Agresso are considered an asset
  • strong organizational and multi-tasking skills
  • excellent communication and interpersonal skills
  • ability to build strong relationships across the organization
  • a high level of integrity, professionalism, and accountability
