Position Summary:

The Clinic Clerical Assistant provides clerical support to the occupational health clinics to enable the clinic to function as a resource to all management staff and volunteers in promoting all aspects of employee health, safety and wellbeing. This role is responsible for administrative services, information management, unit reception, ensuring the clerical administration and operation of the clinics, and performs other duties consistent with the job classification as required

As a member of a dynamic interdisciplinary team of professionals, your expertise in this field will enable you to be directly involved in the strategic management of disabilities, healthy workplace strategies as well as act as a coach, and mentor to management and staff regarding health related issues.

Responsibilities:
  • Provide high quality confidential administrative support to the People Health and Safety Team;
  • Responsible for the coordination of clinics across sites;
  • Responsible for ordering of supplies;
  • Handles confidential correspondence for the department, mail, answer phone enquiries, reply to email messages, and liaise with team members;
  • Maintains complete and accurate employee filing system including completed employee disclosures and incident forms;
  • Provide assistance in setting up program meetings, quarterly meetings, agenda development, minute taking, updating reports, obtaining statistical reports and distribution of required information;
  • Assist team members with special projects or education sessions as required;
  • Input confidential employee information regarding Attending Practitioner Reports, Additional Medical Information and WSIB incident reports into Parklane system;
  • Assist with the completion of the WSIB administrative process in its entirely including documentation, collaboration and referrals to WSIB specialist, Health and Safety, Payroll, Management and employees as appropriate;
  • Assist Occupational Health Nurses with exposure procedures and protocols, occupational health promotions, statistical information;
  • Provide excellent customer service by assisting them with prompt and professional service;
  • Make arrangements for various meetings including registration, room bookings, and audio visual aides;
  • Responsible for Stores, Purchasing and Maintenance requisitioning;
  • Assistants in data collection, data input, data analysis and report writing when required;
  • Other responsibilities as assigned.

Key Qualifications:
  • Completion of a recognized post-secondary program;
  • Minimum three years of administrative experience required;
  • Experience in a healthcare environment is an asset;
  • Demonstrated computer skills, including proficiency in Microsoft Windows Office, (Word, Excel, Outlook, PowerPoint, Access) (60 w.p.m.);
  • Knowledge of Parklane/Software and Meditech system is an asset (Order Entry, PCI);
  • Excellent interpersonal skills and telephone/reception manners required;
  • Ability to interact in a highly professional manner with staff, volunteers and executives at all levels;
  • Excellent customer service and communication skills (verbal and written);
  • Well development organization skills including the ability to prioritize and handle a busy workload with frequent interruption;
  • Ability to work independently and collaboratively within a team;
  • Ability to handle sensitive and confidential issues/information in a professional manner;
  • Excellent attendance and discipline free record required;
  • Ability to liaise with external agencies, partners and other organizations;
  • As part of a dynamic team of professionals must be flexible team player with strong interpersonal and communication skills.
