Job Title: Administrator

Reports to: Vice President and President

Status: Full Time

Schedule: Monday to Thursday, 8a to 5:30p; Friday 8a to noon

Salary: $27-$30 / hour, commensurate with qualifications

Orgues Létourneau invites applications for a new position within an internationally renowned organ building company. The company offers a number of benefits, including a competitive salary, an RPDB (pension fund) and group insurance.

Position Summary

The Administrator’s primary role is to provide direct support to the Vice President, President, and other executives in communications, whether within the team, with clients, or with the general public (which includes the company’s website and social media). The Administrator will also assist in the planning and organizing projects, managing logistics, and preparing and managing contracts. This position may be responsible for the management of select supplier relations as assigned, which may include identifying, selecting, managing, and building relationships with suppliers that supply key products and services.

Primary Responsibilities

Assist the Vice President, President, and others within the company in fostering effective, clear communications, whether internal or external
Manage and maintain schedules for the Vice President, President, and other executives
Create, draft, proof, revise, and/or edit correspondence, reports, written proposals, memorandums, visual presentations, and other documents and files
Manage and maintain positive relationships with clients to ensure contractual obligations and service expectations are met
Maintain the company’s files, including archival materials, electronic files, and the transition of the company’s paper files to digital records.
Improve the company’s database of clients and suppliers, as well as “friends of the company”
Facilitate travel arrangements for the Vice President and President as required
Assist with other projects and assignments as needed

Skills, Knowledge, and Abilities Required

Fluently bilingual in French and English, written and spoken
Excellent written skills in French, as well as English to a lesser degree
Excellent listening, verbal, and written skills
Strong management and technical skills
Outstanding interpersonal skills with the ability to work effectively across the company
Exceptional service orientation
Strong time management, planning, and organizational skills
Excellent attention to detail, as well as problem solving skills
Ability to work well under pressure, managing tasks with competing demands and priorities
Strong knowledge retention and recollection of detailed information
Professional demeanour and presentation
Ability to relate routine tasks to the larger organizational mission and objectives

Education and Experience

Baccalaureate degree or equivalent is desired, a secondary high school diploma is a requirement
At least one year’s experience working in an office environment or as an administrator (executive assistant, office manager, or a similar support function) would be well-regarded
A background in music, including the ability to play a musical instrument, will be helpful
Prior knowledge of the pipe organ, its music, and its function – while not required – would be beneficial

Technical Skills

The ideal candidate will be at ease with using computers proficiently, including an advanced knowledge of the Microsoft Office suite and Adobe’s Acrobat software.
Would also have a proven ability to develop and manage a complex company calendar / schedule and make same readily available within the company
Ability and interest in learning new software or systems as they become available

Working Conditions

The position demands the use of standard office equipment, including laptops and smartphones.

Prolonged periods daily of using a laptop (or desktop) computer
Ability to maintain concentration in an occasionally noisy and disruptive work environment
Willing to work in a fast-paced work environment

Supervisory Responsibilities

This position does not supervise or manage others.
