Position Profile

The Administrative Assistant will be responsible for providing a consistently high standard of administrative support to our Victoria Branch. This position will be based out of our Victoria Branch (6836 Kirkpatrick Crescent, Saanichton, BC V8M 1Z9), reporting to the Branch Administrator.

Responsibilities

  • Keeping reception area safe, clean and organized
  • Greeting visitors, ensuring sign-in procedures are followed, and notifying office staff of their arrival
  • Coordinating booking of all boardrooms for meetings/training and coordinating lunch orders or catering
  • Manage company P-Card (credit card) coding
  • Assisting the IT department with computer and telephone hardware setups for new hires
  • Ordering and organizing office supplies, printer supplies, company forms/stationary and business cards
  • Purchasing breakroom supplies and keeping them organized
  • Organizing incoming/outgoing mail and distributing accordingly as well as company faxes via email
  • Coordinating incoming/ outgoing courier deliveries and distributing accordingly
  • Managing and updating employee directories and branch phone lists
  • Booking flights, hotels, ferries etc. for out of town crews/ other visitors
  • Event planning, member of the social committee
  • Handling all other miscellaneous enquires and directing them to the appropriate staff and/or manager
  • Other administrative duties as required
  • Provide back up support to Branch Administrator when required
  • Fleet vehicle management, sign in/out of vehicle tracking calendar, truck maintenance & maintain vehicle website
  • Safety administration support– criminal record checks, creating and archiving of safety binders, injury management, tracking of safety training etc.
  • File Management

What We Are Seeking

  • Minimum 2 years of previous administrative experience
  • Strong customer service and communication skills
  • Pleasant and professional phone manner
  • Excellent computer skills in the Microsoft office package; Word, Excel, Outlook & Teams
  • Strong time management skills
  • Ability to multitask, prioritize and work in a fast paced, team environment
  • Strong interpersonal skills
  • Strong problem-solving abilities
