As an Administrative Assistant 1 with Vancouver Coastal Health you will
  • Report to the Director and provide confidential administrative assistance to the designated Director and programs/services throughout the applicable Community of Care (CoC) or Corporate Department.
  • Interact primarily with Director/Managers and their administrative support staff throughout the CoC and across VCH to professionally represent the Director’s interests, share information, clarify details and answer questions.
  • Triage information of a sensitive/confidential nature, coordinate the flow of information, ensuring accurate and timely delivery of administrative services, and keep the Director apprised of issues and activities.
  • Collaborate with other Administrative Assistants to ensure office efficiency while promoting teamwork and maintaining a friendly and professional atmosphere.
  • Work independently and communicate with internal and external stakeholders/clients in a positive and respectful manner.

Qualifications

Education & Experience
  • Graduation from a recognized administrative assistant/secretarial post-secondary program.
  • Three (3) years of senior administrative support experience or an equivalent combination of education, training and experience.
  • Must have solid knowledge of MS Office specifically Word, Excel, Powerpoint and Visio and the ability to type a minimum of 60 w.p.m.
Knowledge & Abilities
  • Strong calendar and time management skills to maintain a consistently updated and accurate appointment schedule for the Director, and others as required.
  • High degree of attention to detail applied to all tasks.
  • Ability to be agile, confident and resourceful in problem solving and prioritizing.
  • Practice care and exercise considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.
  • Communicate in a compelling, clear and understandable manner (both verbally and in writing) in order to represent the Director’s interests.
  • Liaise in a professional and courteous manner with managers/directors, staff and the public to gather and disseminate information.
  • Collaborate with peers to ensure administrative systems and processes are consistently followed and monitored for effectiveness and gaps when identified, are addressed and resolved.
  • Employ expertise in the use of desktop computer applications to create a variety of documents and presentations.
  • Ability to assist with meeting arrangements (in person or via Zoom/Skype) including creating agendas, maintaining action log and minute taking.
