JOB SUMMARY

The Engagement Coordinator is a customer service position at Ridge Meadows Division of Family Practice supporting physicians, specialists, partners, and clinics in our community. This position is responsible for supporting our organization engagement strategies. The ideal candidate will enjoy working with the engagement, practice supports, and our member services team in a variety of roles.

You may spend the morning putting on a physician member event and an afternoon researching and calling specialists with interest to join a project leadership team. You may come in the next morning prepared to give a prospective physician a tour of our community and then organize a welcome lunch with our Board of Directors.

This position is suitable for you if you come seasoned with member or customer service and project coordination experience for an organization that is all about positive change. You are outgoing, love leaving the office to talk with clinics on how we can help and are highly organized identifying your priorities along with actions. You are inspired each day, knowing you are supporting our members in their profession and in turn helping their patients.

The following skills would be an asset for this role; leadership, customer/member service, administration, community development, relationship-building, oral and written communication, event coordination, and project coordination.

As per our COVID vaccination policy, all staff and contractors must have full COVID-19 vaccination (have received a

full series of a World Health Organization “WHO” approved vaccine against infection by SARS-COV-2, or a

combination of approved WHO vaccines) and show proof of vaccine.

Divisions of Family Practice is an initiative of the Family Practice Services Committee (a joint committee of the BC Ministry of Health and Doctors of BC). The Ridge Meadows Division of Family Practice (RMDFP) operates as a nonprofit society. Incorporated in 2010, it serves the Maple Ridge and Pitt Meadows area. RMDFP provides its 147 physician members with a strong voice to ensure that our members are at the forefront of positive change in our healthcare system.

AREAS OF RESPONSIBILITY

Big Picture

Responsible for contributing and supporting the organization’s annual Strategic Planand organization goals to success.

The Engagement Coordinator will work collaboratively with our team:

· Outreach to physicians, clinics, and partners sharing or gathering information

· Event strategy and coordination

· Coordinating and executing mini engagement projects and strategies

· Member services support such as: tours, research, survey question management

· Practice services support such as: service navigation communication

· Owning and maintaining personal work plans to meet project/team/organizational outcomes

· Assisting the membership/staff team with other duties as assigned

REQUIRED SKILLS, QUALIFICATIONS AND EXPERIENCE:

· Post secondary certificate or diploma in a relevant area

· 5 years + member or customer service experience

· 3 years + project, event coordination + administration experience

· High degree of professionalism and work ethic

· Exceptional time management and problem-solving skills with the ability to task juggle with ease

· Excellent technology and software skills with adaptability – Zoom, Google Calendar, Audio/Visual

· Professional communication and customer service skills – in person, telephone, email, and text

· Ability to work independently and collaboratively within a team

· Strong database entry and management experience

· Advanced skills in Microsoft Office 365 – Word, Excel, Outlook Email, PowerPoint

· Ability to handle multiple requests from the team, in a dynamic, fast paced environment, while maintaining a calm disposition

· An understanding of relevant privacy legislation governing use of data

· Familiarity with non-profit sector organizational operations is an asset

· Must have reliable vehicle and a valid driver’s license

WORKING CONDITIONS

The Coordinator requires availability to work from Monday to Friday, in office, during regular working hours between 8 am – 6 pm (you choose your best start and end time, i.e.: 9am-5pm, 10am-6pm) with the flexibility of attending early morning, evening and/or occasional weekend meetings to accommodate physician’s schedules. The Coordinator will need to accommodate and manage a flexible schedule. In exchange, the Division supports your work life schedule with returned flexibility along with staff team support. Travel will be necessary across the Maple Ridge and Pitt Meadows region and reliable transportation is required.

Oh, and you will see lots of whiteboards with our continuous planning, learning, changing, and adapting. We love to skill up our team, support staff growth and have people try something new. It is common in our office to be rallying as a team to lend a helping hand to do community work with our seniors or collections for the food bank. Expect to take breaks during your work week for anything such as a team high tea, team bowling, dressing up in a character from ‘The Office’ or standing on the street with a sign that says ‘honk for your doc’ for some member appreciation. We also pay attention to health and wellness whether that is ensuring we have fun injected into our daily routines, doing a walk ‘n talk meeting, or hiring a local fitness guru to do some deep stretch classes with us.
