Job Summary

Reporting to the Principal, the Education Services Coordinator will be required to perform an array of routine administrative duties including drafting and editing time-sensitive correspondence, taking minutes, preparation of presentation materials, and scheduling appointments, supporting education with various tasks to maintain and keep student files up to date. This position also supports the educational services ensuring communication flow, student service supports and event planning.

Duties & Responsibilities
  • Courteously receive screen and direct phone calls and in person visitors and welcome students to school
  • Liaise with staff, stakeholders and other TWN departments and staff
  • Assist with individuals and families completing program and service forms; releasing school cheques once all documents
  • Prepare or forward draft documents and other correspondence materials (e.g. flyers, notices, letters, event calendars, etc.) to Principal for review, approval and distribution.
  • Collect information to be included in the community and/or department newsletter by deadline
  • Complete school newsletter
  • Photocopy, fax or scan documents, routine filing and student file maintenance
  • Collect, process, and submit time keeping and accounting documents
  • Maintain and monitor office and school supply inventory levels and place orders as required
  • Take and transcribe meeting minutes
  • Distribute incoming/outgoing mail
  • Take appointment requests and bring forward to management team
  • Schedule and organize meetings, meeting rooms and booking for the school building and equipment upon request
  • Process Hot lunch orders
  • Prepare travel arrangements with a keen attention to detail, where necessary
  • Assist in event planning, organization and implementation
  • Maintain a high level of confidentiality with all interactions
  • Maintain a professional image and demeanor with all employees, management, families, students and visitors at all times
  • Participate as a contributory member of the Community Development Department Team
  • Weekly grocery shop for school
  • Assist in maintenance of school building – wiping down surfaces as needed.
  • Perform other related duties as assigned
Qualifications
  • Completion of Grade 12 or equivalent
  • Certificate in Office Administration or related field an asset
  • Minimum two (2) years of relevant experience in a high volume, fast paced, rapidly changing environment. Experience working in an educational administration environment an asset.
  • May consider a combination of education and relevant work experience.
  • Must successfully pass a criminal record check
  • Driver’s License Required
Knowledge, Skills & Abilities
  • Strong administrative/clerical skills, including filing, meeting coordination, etc.
  • Excellent organizational, time management, verbal and written communications skills.
  • Ability to organize workloads, set priorities and manage work time to meet the needs of the Tsleil-Waututh Nation School.
  • Strong ability to achieve thoroughness and accuracy with tasks in a dynamic and busy environment
  • Solid work ethic with a strong commitment to punctually, reliability and bringing your personal best to enhance the department.
  • Working knowledge of Microsoft office programs (Word, Excel, Outlook, etc.) and the Internet.
  • Knowledge of Tsleil-Waututh Nation culture and traditional territory an asset
  • Previous experience working in a first nations community and/or organization is preferred
Work Conditions

Physical Demands
  • Significant desk work with long periods of manual dexterity
  • Must be willing to participate in job-related workshops, training, seminars, and conferences to upgrade skills and training as required.

  • Work hours are generally Monday-Friday, between the hours of 8:30am-4:30pm, with some evening/weekend work required for some assignments
